Duties and Responsibilities (*Denotes essential duties)
1. *Provides administrative support for the School of Ocean and Earth Science and Technology (SOEST) Dean's Office and Fiscal and Human Resources offices.
2. *Responsible for the management of the school's parking permit allocation.
3. *Provides administrative support to the Dean's office management team including but not limited to managing electronic calendars, setting up video meetings, routing memos for eSignatures and submitting to appropriate offices for approval.
4. *Provides staff support in procurement including reviewing and approving requisitions, purchase orders, travel requests & completions, departmental checks and p-card transactions in accordance with Federal, State and UH policies and procedures.
5. *Provides staff support in academic and outreach activities under the Dean's Office.
6. *Participates in training sessions for faculty and staff.
7. *Assists in performing human resources related duties such as recruitment, record maintenance, personnel actions, contract interpretation, benefit admin, etc.
8. *Assists with the filing and maintenance of all confidential personnel files and records, in accordance with State and Federal laws and union contracts. Converting manual records to electronic files.
9. *Assists with providing administrative support to other SOEST administrative offices as needed.
10. Other duties as assigned
Minimum Qualifications
1. Possession of a baccalaureate degree in Business Administration, Liberal Studies, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for fiscal and/or human resources administration; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
2. Functional knowledge of principles, practices and techniques in the area of fiscal and/or human resources administration demonstrated by knowledge, understanding and ability to apply concepts, terminology.
3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with fiscal and/or human resources administration.
4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in fiscal and/or human resources administration.
5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
7. Demonstrated ability to operate a personal computer and apply word processing software.
8. Demonstrated ability to work successfully in an environment with a wide range of personalities and needs, while maintaining a positive attitude.
Desirable Qualifications
1. Familiarity with the University of Hawaii's policies and procedures.
2. Professional work experience in an academic/university environment.
