Duties and Responsibilities

- *Supervise and maintain central admissions operations.
- *Conduct admissions system training and meetings for the UHCC campuses.
- *Review and maintain admissions system data and reports for accuracy, completeness, and fee assessment.
- *Plans, recommends, and implements activities that inform the community about the University of Hawaii Community College application process and system.
- *Establish internal procedures and supervises all admission activities to ensure compliance with College, University, State, Federal, etc., policies, rules and regulations.
- *Provides leadership and guidance and assists assigned campus staff with processing onboarding documents, i.e., collection of health clearance documents.
- *Coordinates various operations within established guidelines necessary to the registration process. Create appropriate forms to uphold processes and policies associated with admissions.
- *Serve as the custodian of student applications and supplemental records, develops procedures and supervises the collecting, updating, storing and disclosing of student and other application and institutional academic records.
- *Responsible for the management, including the planning, direction, operation and evaluation, of the centralized admissions functions of the University of Hawaii Community Colleges.
- *Supervise the implementation of admission policies for students and disseminating information.
- *Responsible for the hiring, training and supervision of staff and student help necessary to perform the tasks associated with this program area.
- *Responsible for the coordination and implementation of providing outreach services to applicants who have not completed their application process or accepted applicants who have not registered for classes to increase conversion rates annually.
- *Coordinate processing with Centralized Financial Aid in offering services and activities that facilitate the enrollment process for prospects and admitted students.
- *Conduct admissions operations by processing general admissions applications, understands admissions policies, and interpret the UH residency status for tuition purposes rules and regulations.
- *Oversee and assist with inputting and maintaining application information into the UH Student Information System.
- *Support the admissions of campus special programs.
- *Oversee and assist with processing changes to student records.
- *Develop approaches/workflow for the digital management of the admissions intake process.
- *Provide assistance and information to students/customers regarding admissions, registration, transfer credit evaluation, and special program policies and procedures in the day to day front office operations.
- *Oversee and assist in reviewing, disseminating, and answering inquiries. Properly respond or direct inquiries appropriately and in a timely manner and successfully assist/resolve customer issues.
- *Produce reports and coordinate data collection requirements based on operational, reporting, and export needs.
- *Maintain records and uphold the Family Educational Rights and Privacy Act (FERPA).
- *Make recommendations on technology solutions to improve processes for students utilizing existing campus/university policies.
- *Responsible for the assessment, recommendations, and implementation of workflow and procedures to achieve and improve performance goals.
- *Develop, define, or apply new or improved techniques, methods, practices, or strategies.
- Recommend constructive ideas to increase the efficiency, effectiveness, and productivity within a specialty area.
- Other duties as assigned.
Minimum Qualifications
Education and Professional Work Experience
- Possession of a baccalaureate degree in Education, Social Sciences, Business Administration, Public Administration, Human Services, or related field and three (3) years of progressively responsible professional experience with responsibilities for providing educational services, counseling or other assistance to students as it relates to registration activities, including experience with various student populations; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Knowledge, Skills and Abilities
- Considerable working knowledge of principles, practices and techniques in the area of recruitment, registration and admission of students from various backgrounds as applied to higher education or postsecondary educational institutions, as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with recruitment, registration and admission of students in a postsecondary educational institution setting.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer and word processing and spreadsheet software.
- If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Supplemental Minimum Qualifications
- Considerable knowledge of higher education or postsecondary educational institution programs and organizations, their purposes and functions.
- Thorough understanding of the Family Educational Rights and Privacy Act (FERPA).
- Ability to effectively communicate with students and prospective students from various backgrounds.
- Working knowledge of database management and familiarity of student information systems.
- Ability to work outside of regular work hours including evenings, weekends and holidays, during peak registration periods or when necessary.
Desirable Qualifications
- Coursework in guidance, counseling, student personnel, or related social science.
- Experience in higher education admissions.
- Experience working with Hawaii High School constituents and other UH System campus admissions offices.
- Understanding of the needs of a community college student.
