Important Note: Applicants seeking short-term or part-time work with the University Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part time employees.
Duties and Responsibilities:
- Serve as administrative support to the Executive Search Coordinator.
- Schedule, coordinate, and prep for all Executive recruitments from development of position description to hire.
- Serve point of contact to all initial applicants to ensure consistent information in regards to recruitments.
- Assist in managing organizational system to track all Executive recruitments at UH Manoa.
- Draft position descriptions and qualification assessments for recruitments.
- Collaborate with various hiring units and their administrative team to ensure seamless recruitment process (e.g., posting of job ads, technology for interviews, facilities, and parking for on-campus visit).
- Serve as back-up to Executive Search Coordinator to provide Search Process Guidelines briefing to committee members.
- Perform other duties as needed.
- Bachelor’s degree from a recognized institution, with three (3) years of professional experience;
- Extensive experience in effectively managing complex schedules and calendars for multiple stakeholders, including coordinating with executive leadership.
- Demonstrated ability to organize large, diverse committees, ensuring efficient communication, agenda management, and maintain accountability by meeting deadlines and delivering actionable outcomes.
- Demonstrated strong interpersonal skills through proven ability to interact effectively with others;
- Demonstrated ability to work effectively and independently under pressure, with frequent interruptions, and remain flexible in multi-tasking several concurrent projects with competing deadlines;
- Detail orientated with strong written and oral communication skills;
- Extensive knowledge and practical experience with HRIS platforms and related tools used at UH, including Qualtrics, Doodle, Dropbox, Kuali Build, and similar systems, with a demonstrated ability to utilize these tools for effective workflow management and decision support
- Professional experience in higher education academia and/or recruitments;
