Job SummaryDuties & Responsibilities
- Maintain 4-H youth files. Data entry for 4-H county enrollment and fair program for Saline, Pope-Hardin, and Gallatin Counties.
- Serves as receptionist for the office, receives visitors and answers telephone, refers inquiries to appropriate person(s) or responds to calls for actual information.
- Provides clerical and secretarial support to the County Extension Director, Extension 4-H Program Coordinators, and other employees within the unit.
- Comply with Affirmative Action/Equal Opportunity policies and procedures in all aspects of Extension work; assists Unit staff with collection for Affirmative Action, Gender, and Targeted reports, and programming under the University of Illinois guidelines.
- Copy newspaper articles and news releases and maintain files.
- Back up Office Support Specialist in retrieving departmental mail. Open, date stamp, sort and disseminate to appropriate staff, providing any additional information and/or materials required and with answering the phone and assisting walks-ins.
- Assists Office Support Specialist with end-of-year 4-H reporting and IRS tax filings for 4-H clubs by providing necessary reports from 4-H systems and other reports.
- Prepares routine correspondence, program materials, newsletters, and other promotional materials including duplicating, collating, and preparing mass mailings.
- Accurate and timely submission of all required reporting and prepares bank deposits for the In/Out Account at times for the Office Support Specialist.
- Prepares expense reports in Chrome River.
- Orders 4-H supplies as necessary and general office supplies for Saline County such as paper towels and other household supplies.
