Summary:
The reception desk is in the Enrollment Management Lobby is a busy, hi-traffic, entrance/hallway. Doors frequently open and close. This person performs simple, repetitive, clerical/office support activities, including the use of computer and phone systems. The front-facing individual serving in this role serves as clerical and administrative support and customer service for Admission and Enrollment Management calls and information.
Duties & Responsibilities:
- Welcomes visitors, determines the nature and purpose of Admissions and Enrollment Management guests. Directs and/or escorts campus guests to destination, provides information regarding Admissions and Enrollment Management as a whole. Reports students and their family’s feedback to the appropriate Enrollment Management personnel. Sets appointments for prospective students and their families with Admissions Counselors and schedules campus visits.
- Responds to routine inquiries from students and their families in order to provide or clarify information on Admissions policies, procedures, and deadlines. Resolves complaints and refers unresolved grievances to designated personnel for further investigation and review.
- Composes routine correspondence and transmits information or documents using computer or appropriate tech as well as coordinates traditional mail campaigns and informational materials for prospective student populations. The CSA researches inquiries and provides point of contact for quality control concerns and related solutions for auditing. Assists higher-level personnel in examining and maintaining departmental records and reports. Notifies unit of critical deadlines and conducts surveys and gathers data for statistical studies.
- Prepares information for the campus on Admissions and Enrollment standards and policies. Communicates with and informs students and families on recent improvements and opportunities to optimize their Admissions process.
- Provides filing, scanning, and data entry for Banner and Slate, and other systems as directed.
- Pays and reconciles specific Admission fees assessed by Admissions; Verifies amount due as shown on statement against payment offered.
- Performs other related duties as assigned.
Minimum Qualifications:
1.High school diploma or equivalent.
2.Any one or combination totaling eighteen (18) months from the following categories:
A.college coursework in any discipline as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate’s Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor’s degree (120 semester hours) equals three (3) years (36 months)
B. responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience
Preferred Qualifications:
Knowledge and experiences or ability to learn telephone systems, Microsoft Office Suite, Banner, and Slate as well as student information systems. This person should be competent and possess strong customer service skills. The ideal candidate will have experience in a professional office environment or higher educational institution.
Knowledge, Skills & Abilities:
Basic knowledge of simple, repetitive office practices and procedures including answering phones, responding to emails, and assisting with walk-in traffic.
Ability to keyboard accurately as well as intermediate level Information Technology
Working knowledge of spelling, grammar, punctuation, and sentence and paragraph structure
Skill in verbal and written communication
Ability to operate standard office equipment such as document production, scanning, faxing, and copying equipment.
