Title:             Indirect Loan Processor II

Department: Consumer Lending

Reports to:   Indirect Lending Supervisor

FLSA:           Non-exempt

Job Grade:   9

 

Job Purpose: To provide service to the credit union by processing Indirect Vehicle Loan Applications submitted by the Dealers in a manner that ensures compliance with all appropriate laws and regulations.  Excel in processing Indirect applications and fundings while assigned with additional task and/or reports for Indirect lending team to operate successfully. Maintaining accurate data and documentation needed for Indirect lending department.

 

Essential Job Results:

 

JOB SPECIFIC RESULTS

  1. Gathers information from the Dealer on potential Indirect Loan applications. Inputs the information into the Credit Union’s data processing system.
  2. Communicates with the Dealers on any incomplete paperwork or missing items related to the loan and/or account and records in proper dealer tracking records.
  3. Delivers decisions to the Dealers by informing them of approval, denial or counter offer in an expedient manner, explaining terms and conditions, documenting notes to files, accurately completing loan documentation, file notes and disbursements, ensuring  adverse action requirements are completed and exploring other options for members. Communicate and interact with department management and staff to provide information on loan status.
  4. Ensures the Indirect Loan file is complete will all documentation by verifying the loan has been created correctly and all funding proceeds are properly balanced and all information is accurate on the data processing system. Ability to identify red flags and/or alerts in loan documentation in order to avoid potential fraud. Reviews all for accuracy.
  5. Ensures all Indirect Accounts are created and funded on the core processing system correctly and all documentation is timely, accurate, stored for permanent safe keeping and compliant per procedures.
  6. Maintains effective working relationships with the Dealership F&I departments by communicating application decision, funding requests and all dealer concerns via all forms of communication.
  7. Verifies the information provided by the Dealers per Indirect Lending procedures by calling members to authenticate the information provided on the credit application and documenting the verification results.
  8. Pulls monthly chargeback reports and assists with logging the accurate Dealer chargebacks. Prepares, reviews and mails 1st, 2nd, and 3rd notices. Reports to Supervisor once 3rd notice has not been paid. Applies checks to the GL once received and paid by dealer and updates Smartsheets accordingly.
  9. Prepares monthly F&I SPIFF data within excel and review with Supervisor on year-to-date earnings by F&I.
  10. Maintains W9 documentation by individual for paid out dealer incentives. Keeps documents organized and adds/removes dealer incentive payees when needed. Inputs information into the Indirect Smartsheets so Indirect department can notate accordingly. Adds F&I information to the Indirect Spiffs Smartsheets for tracking.
  11. Adds creates, edits, or removes Smartsheets as needed. Maintains accurate dashboard formulas when new sheets are created or changed. Adds/removes dealership information as needed. Assist with troubleshooting and/or testing in loan software as needed.
  12. Provides onboard support and/or training for Indirect Loan Processors. Assists in the training for new functions within the department. Be available for retail staff for shadowing purposes.
  13. Aids in addressing errors identified by our internal Quality Assurance department. Helps assign errors to the appropriate processor as needed. Collaborates with Supervisor on solutions to fix errors.
  14. Maintains and helps manage procedures. Verifies, updates and provides feedback on the HUB related to Indirect Lending.

 

GENERAL MEMBER CONTACT STAFF RESULTS

  1. Maintains account records by updating member information as necessary.
  2. When directly serving members, cross-sells credit union services by answering inquiries, actively informing members of new services and product promotions, ascertaining members’ needs, directing members to other staff as appropriate.

  2. Engages in problem resolution by clarifying the member’s and/or employee’s complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution; and keeping the supervisor informed of problems and solutions.
  3. Complies with UKFCU policies and procedures by enforcing and adhering to internal UKFCU procedures and board-established policies.
  4. Complies with federal, state and local regulations and legal requirements by enforcing and adhering to requirements.
  5. Maintains professional and technical knowledge by maintaining an awareness of competitors’ rates and terms, industry trends and technology; attending staff meetings; identifying opportunities to attend seminars that enhance skills and maintain knowledge of new products that could assist in improving operational effectiveness; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; and participating in professional societies.
  6. Contributes to a team effort by accomplishing corporate and individual goals and other related results as needed. Ensures changes in processes are updated in work instructions and followed.

Qualifications


MINIMUM REQUIREMENTS

  • Two years of similar or related experience preferred.
  • High school diploma or equivalent experience.
  • Ability to communicate with others one-on-one; fielding questions and responding to complaints.
  • Ability to work with other employees.
  • Strong attention to detail required.
  • Ability to define problems, collect data, establish facts and draw conclusions while dealing with a variety of abstract and concrete variables.
  • Ability to write reports, correspondence and procedures.

This position allows for an optional hybrid work arrangement which includes a combination of both in-office and remote work arrangements. (Maximum of two days remote, three days in-office). To be eligible for the program, employees must complete a minimum of 90 days of continuous, regular employment, be in good standing, and submit a formal hybrid work application prior to being eligible for hybrid work, pending supervisor approval. Work schedules will be established by the employee's supervisor according to business needs. Working locations and schedules may be altered at management discretion.
