The University of Maine System is accepting applications for an Administrative Specialist (Conf) CL2 (Administrative Specialist) . This position will work in the Treasurer's Office on the University of Maine at Augusta campus. The Administrative Specialist is responsible for various administrative and clerical tasks that require strong organizational skills and flexibility. This role serves as the primary point of contact and an ongoing resource for internal and external stakeholders, handling a wide range of verbal and written communications.
Collaboration within a team is essential, along with a commitment to exceptional customer service, maintaining confidentiality, filling administrative coverage gaps as needed, and managing multiple tasks effectively. The ability to prioritize and navigate a diverse environment with frequent interruptions is crucial. The position seeks an individual with sound judgment and initiative because work is typically carried out under general guidance rather than specific instructions.
Key Responsibilities Include:
- Scheduling meetings and manager supervisor's calendar.
- Assist with email communications and answering the office phone.
- Creating and assisting with special projects and event planning.
- Managing the purchase order and invoice processes, researching when applicable in MarketPlace.
- PeopleSoft processes that include invoices, deposits, etc.
- Take and file meeting minutes.
The hours are Monday through Friday from 7:30 AM to 4:00 PM. This position reports to the Chief Business Officer and is an integral part of a dynamic team.
Salary: The starting wage for this position is $18.86 an hour (non-negotiable) for a new hire or the appropriate transfer rate for a current employee ACSUM/COLT unit member with the University of Maine System.

Qualifications
Required:
- High School diploma or equivalent education (G.E.D.) and sufficient experience, including two years of administrative support experience.
- Experience with data entry and web-based programs.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Strong computer skills and experience using MS programs.
- Strong customer service skills.
- Adapts well to change.
Preferred:
- Associate degree.
- PeopleSoft and Marketplace experience.
