JOB SUMMARY
Under close supervision, provides mid-level administrative support to one or more managers. Duties may include receiving visitors, typing and filing, handling the mail, copying and faxing as necessary, processing invoices, scheduling internal meetings and preparing materials for meetings; and other duties as assigned.
JOB RESPONSIBILITIES
1. **Documentation and Compliance:**
- Coordinate maintenance of provider licensure, trainings, certifications, and credentialing.
- Assist in the preparation of reports and documentation for proposals and program maintenance.
- Organize documentation of program activities, policies, and procedures.
- Maintain current and former trainee files including training verifications.
2. **Event and Schedule Coordination:**
- Facilitate faculty, staff, and trainee meetings and conferences.
- Coordinate with the team to plan and organize visiting faculty and departmental events.
- Maintain visiting learner schedules.
3. **Operational Support:**
- Provide support for onboarding new team members, including faculty, staff, residents, and fellows.
- Conduct check-ins to push forward weekly goals.
- Coordinate with hospital services including facilities, housekeeping, and mail.
EDUCATION and/or EXPERIENCE
- High school diploma or general education degree (GED) required
- Two to three years related administrative experience; medical office experience is preferred
- Accurate typing and data entry skills
- Excellent organization skills
- Basic knowledge of software used by department
- Knowledge of general customer service practices
- Ability to deal effectively and diplomatically with team members and public
- Ability to work in a team environment
- Must be self-motivated and self-starter
