Responsibilities*

Job Responsibilities:

Operational Oversight:

  • Manage daily operations for the team across five key areas within Radiology: Insurance Authorization, Template Editor, Charge Reconciliation, IR Scheduling, and Call Center.
  • Establish operational objectives and assignments for staff to ensure alignment with departmental and institutional goals.
  • Ensure continuous development and execution of processes within the call center and authorization department to enhance efficiency and minimize exam write-offs.
  • Organize and direct the workflow of scheduling outpatient Radiology appointments across all Michigan Medicine sites.
  • Other duties assigned by the Clinical Operations Director or designee.

Process Improvement:

  • Lead and evaluate LEAN initiatives and other quality improvement activities to enhance service delivery.
  • Develop charge reconciliation workflows for the Radiology Department to optimize financial outcomes.
  • Partner with Cadence or similar groups on process optimization initiatives, including the implementation of decision trees within Radiology scheduling.
  • Routinely prepare and analyze reports to assist management in setting call center goals and improving operations.

Human Resources Duties:

  • Recruit, hire, and manage staff effectively; delegate assignments and evaluate staff performance.
  • Counsel, develop, and evaluate team members to achieve departmental objectives.
  • Conduct interviews for potential job candidates and administer corrective actions or terminate employees when necessary.
  • Provide ongoing education and guidance as part of managing the Affinity training program for over 400 clinic schedulers.
  • Adhere to union contracts for the respective staff and unions, ensuring all actions are compliant with union guidelines while building professional relationships with union representatives.

Regulatory and Compliance:

  • Assure compliance with regulatory, legal, patient care, and safety programs.
  • Create and implement internal department policies, ensuring consistency with Radiology Department standards and institutional policies.

Interdepartmental Collaboration:

  • Act as a liaison between the Revenue Cycle Department, insurance payer representatives, and the Radiology Department to strengthen partnerships and increase revenue.
  • Work collaboratively with other leaders to identify and solve operational issues, improve workflows, and enhance service quality.
  • Collaborate with Munson Health Center and Michigan Medicine physicians to secure prior authorizations for dual-site patient care.

Additional Responsibilities:

  • Monitor Pre-Service Business Tasks Radiology work queues to ensure efficient processing.
  • Participate in the planning and activation of capital projects to support department growth and efficiency.
  • Attend leadership meetings and lead staff meetings to drive strategic goals.
  • Address scheduling issues within the MiChart system and maintain templates for Radiology.
  • Ensure quality assurance through phone monitoring and resolve equipment or building issues as needed.
  • Administer disciplinary actions following Michigan Medicine and Radiology Department policies and/or union contracts.

This role is pivotal in ensuring efficient operations, process improvement, compliance with union contracts, and staff management within the Radiology Department, contributing to high-quality patient care and fiscal responsibility.

Required Qualifications*

  • Bachelor's degree or equivalent combination of education and experience.
  • Previous supervisory experience.
  • Computer skills (e.g., working knowledge of Word, Excel, and/or database software)
  • The ability to work independently for some tasks as well as the ability to work as part of a collaborative team for others.
  • Professional verbal and written communication skills.
  • Extremely detail oriented with an exceptional ability to multitask.
  • Excellent attendance record.
  • Ability to problem-solve, organize, and process information with speed and accuracy.
  • Understands and adapts to changes easily and supportively.
  • Radiology experience in an administrative or clinical role

Desired Qualifications*

  • Registered Medical Imaging Technologist (American Registry of Radiologic Technologists, American Registry for Diagnostic Medical Sonography, American Registry of Magnetic Resonance Imaging Technologists, or Nuclear Medicine Technology Certification Board) or BS degree in a healthcare related field.
  • Advanced data analysis skills.
  • Experience with leading project teams.
  • Previous policy writing experience.
  • Experience with change management.

Work Schedule

40 hours, normally day shift but flexibility is required.

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
