Job Description
This position is a support position designed to assist the associate deans in the College of Engineering. Job responsibilities include monitoring the associate dean’s calendar and making sure they are getting to meetings and appointments on time, preparing documents, and confirming the details of meetings and other activities. Other responsibilities include assisting with the coordination and implementation of special events and greeting students, faculty, staff, and families that visit the student services area in the College of Engineering. This position is a problem-solving job where the executive assistant is responsible for solving and resolving issues that arise during the day. This position requires independence and judgement and it is expected that the person will take initiative both to manage and assist the associate deans and will understand how the team integrates with others to accomplish team objectives.
Primary Responsibilities Include
Scheduling: Manage the associate dean’s time effectively. Impact the quality, timeliness and effectiveness of the team through planning, organization and coordination.
Events, Meetings, and Agendas: Provide support and assistance to the associate deans for regular meetings and for special events.
Correspondence: Manage and proof correspondence, reports and other documents.
Office and Workload Management: Keep the office running smoothly with appropriate communication. Solves problems and proactively identifies solutions. May modify work practices and processes to achieve results or improve efficiency.
Student and Guest Relations: Ensure the smooth flow of student and guests inquires and requests to appropriate teams in student services and research.
Shift
Monday - Friday, 8:00 a.m. - 5:00 p.m.
This position requires reliable, onsite attendance.
Minimum Qualifications
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
Excellent verbal and written communication skills.
Effective interpersonal skills with a strong customer service focus.
High level of organizational skills
Exhibits a high-level of professionalism at all times.
Excellent attention to detail.
Ability to work independently and as part of a team.
Anticipated Hiring Range
Salary Range: $18.50 - $25.00 per hour
