JPosition Reports to: Chief Financial Officer and Controller
Fundamental Objectives of this Position:
Under the supervision of the Chief Financial Officer and University Controller, the Business Office Specialist is responsible for general office support duties for the Business Office in a highly confidential manner. The Business Office Specialist will assist with a variety of tasks, including various accounting tasks, collection support, and purchasing duties.
Essential responsibilities of the position:
Duties include, but are not limited to:
· Provide administrative and business support to the CFO, including maintaining a calendar, travel arrangements, phone calls, facilitation of meetings with executive leadership and board members, reports, and agendas.
· Support other members of the team within the Office of Business Affairs.
· Oversee the front desk, answering telephone calls, filing, handling of mail and ordering office supplies.
· Hiring, scheduling, training, and supervising Business Office student workers.
· Track tenants and work with Human Resources to ensure collection of rent money for campus rental properties.
· Plan and coordinate events for departmental activities.
· Update the Business Affairs section of the website for content and forms.
· Prepare invoices for various parties.
· Assist in the completion of the annual Columbarium report.
· Assist in the completion land valuation renewals with the county auditor.
· Support the Controller as a loan coordinator for students with Perkins and university loans, including processing master promissory notes, preparing paid in full letters, and reporting as assigned.
· Complete credit disputes that are received from credit bureau(s).
· Work with various personnel to file and oversee the use of the University contract record-keeping system.
· Assist purchasing delegates across campus with purchasing policies or terms, place purchase order requests, including working with Accounts Payable to set-up new vendors and finalize payments to suppliers.
· Assist with the commercial purchasing card.
· Perform other duties as assigned.

The ability to work independently and in a team environment is critical. Proficient skills in Microsoft Office are required.
Minimum Requirements:
High school diploma with at least three years of office experience, preferably in a related environment is desirable. This is a full-time hourly position.
