Position Number : 000174Department : Athletics (Adm)Employment Type : Permanent - Full-timeMonths Per Year : 12Essential Duties and Responsibilities : Reporting to the Sr. Associate Athletic Director for Business Operations / CFO , the Assistant Athletic Director for Business Operations will oversee the day-to-day operations of the Charlotte Athletics Business Office. The Assistant Athletic Director for Business Operations must possess advanced troubleshooting skills as well as demonstrate a commitment to customer service and continuous improvement. Work must be done independently, with a strong attention to detail, to manage multiple projects and meet department deadlines.Evaluate processes and make recommendations to establish an environment of continuous improvement for the Athletics Business Office.Utilizes available resources to streamline workflows and create efficiencies with a focus on reducing paper-based workflows.Serve as the liaison with accounts payable, general accounting, PCard, purchasing, risk and insurance management, fixed assets, tax, travel, and expense reporting.Review and approve travel expenses, PCard transactions, employee reimbursements, interdepartmental transactions, and purchase order requisitions.Department liaison with third-party travel agency (Shorts Travel).Oversee all revenue accounting for the athletics department.Reconcile Athletic Foundation accounts and monitor available balances to ensure funds are being utilized appropriately.Prepare monthly budget reports for distribution to coaches, staff, and senior leadership.Assist with the annual budget development process in collaboration with executive staff, department heads, and coaches.Assist with the preparation of EADA / NCAA AUP reportsAssist with capital projects’ financial tracking.Complete financial reconciliations with third-party vendors and hosted events as necessary.Act as best practice leader and addresses policy and process questions on UNC Charlotte, UNC System, North Carolina state and Athletics Department guidelines.Stays up to date and informs coaches and staff on new initiatives, processes, and / or policy changes as dictated by the UNC System and UNC Charlotte Financial Services.Creates resources, conducts training and facilitates on boarding new athletics department staff on purchasing, travel and expense policy and procedure as needed.Maintains and updates Athletics Business Office policy and procedure manual as required.Works with internal and external parties to ensure contracts are executed and managed in accordance with UNC Charlotte, UNC System, and North Carolina state regulations.Consult with Purchasing Services, the Office of Legal Affairs, Tax, Enterprise Risk Management, and other resources, as appropriate.Oversee the payment and processing of game contracts.Minimum Experience / Education : Bachelor’s degree in business, finance, accounting, sport management, or a related field.4-6 years of experience in accounting, business operations, and / or finance role within the higher education, athletics, or entertainment / hospitality industry.Strong interpersonal skills and the ability to work collaboratively.Professionalism, composure, and an ability to communicate clearly, and effectively.Preferred Education Skills and Experience : Master’s degree in business, finance, accounting, sport management, or a related area.NCAA Division I athletics business officeManagement / supervisory experience.Familiarity with Banner Finance and Concur Travel or related enterprise-level systems.
