The University of North Carolina School of the Arts, located in Winston-Salem (“The City of the Arts”), was the first state-supported, residential school of its kind in the nation. Established by the N.C. General Assembly in 1963, NCSA opened in Winston-Salem in 1965 and became part of the University of North Carolina system in 1972. More than 1,100 students from middle school through graduate school train for careers in the arts in five professional schools: Dance, Design and Production (including a Visual Arts Program), Drama, Filmmaking, and Music. The University of North Carolina School of the Arts is the state’s only public arts conservatory, dedicated entirely to the professional training of talented students in the performing, visual and moving image arts. The chancellor, deans, and faculty work with students in a residential setting to create an educational community that.is intimate, demanding, and performance centered. The Chancellor of the University of NC School of the Arts is the chief administrator for the campus, overseeing all aspects of its business, including academics, finance, advancement, human resources and student affairs.

Primary Description of Work
Under the direction of the Chancellor and with guidance from the Chief of Staff, the Executive Assistant to the Chancellor is the principal contact for administrators, faculty, staff, and students, as well as the System office President and staff, Board of Governors (BOG), and the Board of Trustees. This position regularly interfaces with legislators, parents, community members/groups, and vendors who are contracted to do work for UNCSA and at the Chancellor’s residence. The Executive Assistant drafts and edits correspondence, memos, and emails. This position facilitates regularly-recurring and specially-requested meetings with both on- and off-campus stakeholders. The Executive Assistant secures meeting locations and works with departments on campus for set-up requirements and catering. They handle all of the budget and financial responsibilities for both the state and Foundation accounts, including check requests, reimbursements, purchase orders, budget transfers, receiving, and purchase-card responsibilities. The Executive Assistant also books travel accommodations for quarterly BOG and donor cultivation trips; plans multiple entertainment events at the Chancellor’s residence; co-manages the capital improvement projects at the off-site residence; coordinates Commencement speaker itineraries and visits to campus; serves as staff person for Administration/Dean employment search committees.

OFFICE MANAGEMENT: Coordinating and managing the Chancellor’s calendar and supporting daily activities; coordinating complex schedules, meetings and logistics; providing primary reception for the Chancellor’s Office; answering phones, referring calls, distributing mail and maintaining filing systems; processing check requests and purchases for items needed by the Chancellor’s Office; managing Chancellor’s budget /office accounts and keeping detailed records of transactions; maintaining Chancellor’s Office (supplies and equipment), running errands as needed.(All of these functions are essential and primary to this position)
CORRESPONDENCE AND COMMUNICATION: Communicating on behalf of the Chancellor as requested; providing support for various mailings; assisting with communication with donors, Boards, staff, General Administration and the community; establishing and maintaining strong relationships with staff in other offices, as well as supporting other administrative functions as needed; prepare and process correspondence for the Chancellor.
EVENT- PLANNING AND LOGISTICAL SUPPORT: Coordinating event planning for events hosted by the Chancellor’s Office; coordinating maintenance for the Chancellor’s Residence; coordinating all travel arrangements for the Chancellor and guests of the Chancellor’s Office(All of these functions are essential and primary to this position).

Minimum Qualifications
Four years experience serving upper level administration; Bachelor’s degree or equivalent professional experience; Comprehensive knowledge and experience using the Microsoft Office Suite, and ability to learn numerous technology service platforms. Availability to work in the evenings and on weekends, as required.
Preferred Qualifications
Knowledge of ChromeRiver/Emburse Enterprise, ESM Solutions, Banner
Ability to lift and move 40 pounds
Project management experience
Knowledge of performing arts production and university administration is helpful
