Purpose of Position
This position provides administrative secretary support for the Southwest Campus Associate Dean, faculty and staff. Duties include providing general and educational services support to the Southwest Campus; supporting local IT needs, website design and maintenance; and acting as the department records coordinator for the campus.
Duties & Responsibilities
Provide administrative secretary support for the Southwest Campus Associate Dean, faculty and staff
- Serve as receptionist, greet visitors, answer telephone, take messages, mail, and provide information.
- Liaison with doctors, hospital/clinic personnel, and medical school personnel.
- Act as resource person for the Southwest Campus office.
- Manage calendar, maintain conference room and classroom schedules.
- Coordinate and assist with events, functions, and meetings.
- Assist in maintenance of Southwest Campus teaching faculty database.
Provide general and educational services support to the Southwest Campus
- Primary coordinator of student orientation and onboarding, student events and other functions.
- Oversee, organize, and coordinate 4th year medical student schedules
- Manage and maintain the software needed for fourth year student evaluations, grading, and scheduling.
- Organize and coordinate 3rd year Inter-professional development and career exploration scheduling
- Assist with coordination of required tests and training; to include proctoring, scheduling and arranging in person and/or zoom
- Primary for coordinating Basic Life Support and Advanced Cardiac Life Support for students.
- Assist in coordination of student community service events at local grade schools, high schools, and colleges.
- Organize continuing education and professional development for students.
Local IT needs and website design and maintenance
- Troubleshoot any issues with testing laptops before test day.
- Work with Grand Forks campus IT to help resolve issues with desktops, laptops and meeting rooms.
- Primary website design and upkeep for the Southwest Campus
- Assist with IT inventory and equipment updates.
Records Coordinator for the Southwest Campus and other educational programs
- Serve as a records coordinator for the Southwest Campus, following guidelines for the creation, retention, and destruction of records; respond in a timely and accurate manner.
Required Competencies
- Knowledge of UND policies and procedures
- Excellent oral and written communication skills.
- Aptitude for learning new software and systems.
- Good customer service skills interacting with various people.
- Ability to organize and prioritize tasks.
Minimum Requirements
- High school diploma or GED
- Successful completion of a Criminal History Background Check
