Position Overview
The Guest Experience Coordinator is a full-time position, responsible to oversee on-campus contact experiences for Admissions Office guests. Create a positive first impression and service that exceeds customer expectations. Coordinate the functions and procedures of the front office, manage data processes for prospective students, and provide administrative assistance as needed.
What will I do in this position?
Essential job responsibilities include but are not limited to:
- Serve as a primary point of contact for university Admissions guests, providing a welcoming and helpful first impression. Provide information about the university, its programs, facilities, and events accurately and professionally. Address guest inquiries, concerns and complaints promptly and effectively, escalating issues to the appropriate personnel when necessary. Ensure a high level of customer service and strive to exceed guest expectations, cultivating a positive and inclusive environment for all guests.
- Collaborate with the visit office staff, particularly the Admissions Visit Coordinator, to ensure that the guests’ schedules are without error and that there is sufficient student or staff coverage for all aspects of the visit.
- Assist the team with creating daily materials for visiting guest.
- Coordinate the functions and procedures of the front office, and provide administrative assistance as needed, including answering phones and performing other basic office duties.
- Maintain consistency in completing projects that support the admissions department such as updating visit numbers, sending out pre-visit correspondence, reviewing surveys, updating visit and event communication, and other tasks as requested by supervisor.
- Purchase office supplies and maintain inventory of Admissions promotional materials.
- Oversee the mailing of various student communication pieces from Slate such as admittance packets, president letters, and inquiry mailings.
- Oversee the main admissions phoneline and voicemails.
- Assist the department with the processing of files for Transitional Student admission.
- Receive and scan in daily mail such as transcripts, test scores, etc. into Slate and assign documents to student’s files accordingly. Process returned mail as needed.
- Hire, train, and supervise a team of admissions office assistants and tour guides to assist with campus visits, office work, mailings, phone calls, and front desk responsibilities.

What will it take to succeed in this position?
Minimum Education and Experience:
- High school diploma or GED equivalent, required
- Previous related experience, preferred
- Previous supervisor experience, strongly preferred
- Continually nurture a personal relationship with Jesus Christ; serve as a consistent witness for Jesus Christ; maintain a kind, Christ-like attitude in dealing with and ministering to people within and outside of Northwestern; and faithfully uphold and embrace Northwestern’s mission, doctrinal statement, and Declaration of Christian Community.

- Possess outstanding customer service skills and excellent verbal and written communication skills
- Ability to interact with a variety of individuals in a professional, kind, and tactful manner
- Ability to work in a fast-paced environment with multiple interruptions
- Strong time management, organizational, and problem-solving skills
- Detail oriented with ability to prioritize projects and complete tasks accurately within deadlines
- Intermediate to advanced computer proficiency
- Ability to work in both a team environment and independently, without close supervision
- Ability to work occasional evenings and weekends as needed
- Intermediate level computer proficiency
- Ability to pass a background check upon hire and periodically throughout the course of employment
