The Franco Family Institute for Liberal Arts and the Public Good is seeking an Events Specialist to support the planning and execution of scholarly conferences and academic events that further the Institute’s mission. In this role, the Events Specialist will collaborate with faculty, staff, and external partners to manage logistics, provide guidance on best practices, and ensure seamless event execution. This role reports directly to the Assistant Director of Conferences.

Essential Duties & Responsibilities
Event Management
- Assist in the management of academic conferences and events from ideation through execution.
- Develop and oversee event budgets, track expenses, and process reimbursements.
- Manage logistics, including travel arrangements, lodging, catering, audiovisual needs, and venue coordination.
- Plan and facilitate regular check-ins with stakeholders to ensure event goals are met.
- Assist with event customization, including branding, decor, and gift selection.
- Provide on-site supervision for select conferences and events.
- Advise faculty on best practices for planning and executing academic events.
- Work with faculty to develop event budgets for funding proposals.
- Assist in timeline development and vendor selection based on faculty needs.
- Collaborate with University Operations, Events and Safety ( UOES ), Controller’s Office, and other campus departments to facilitate successful events.
- Work with Notre Dame’s global sites to support select international events.
- Support the Franco Institute’s broader mission through participation in staff meetings and special projects.
- Maintain detailed event records and support financial reconciliation.
- Participate in post-event debrief meetings to assess effectiveness and areas for improvement.
- Assist in designing metrics and tracking engagement data to support strategic planning.
Education & Experience:
- Bachelor’s degree
- Previous experience in event planning, program management, or related fields
- Strong organizational and project management abilities
- Excellent communication, writing, and administrative skills
- Professionalism in working with faculty, staff, and external partners
- Ability to manage multiple tasks and competing priorities efficiently
- Self-motivated team player who can work autonomously in a fast-paced environment
- Analytical problem-solving skills with a keen attention to detail
- Ability to learn and utilize Notre Dame’s software systems and policies (e.g., GLez, BuyND, TravelND)
