Essential Functions
- Prepares the annual budget for the following Whiddon College of Medicine (COM) offices: Student Affairs, Medical Education and Educational Technologies and Services (ETS).
- Manages the following COM budgets: Student Affairs, (inclusive of operating expenses, faculty and staff travel, student travel, and student wellness), COM Student Escrow, Educational Technologies and Services (ETS), ETS Special project Fund, COM Review of Systems, COM Visiting Students, and COM Transcript Fund.
- Audits the following COM accounts to verify accuracy of entries, investigate discrepancies, and reconcile accounts: Student Affairs, Division of Medical Education, COM Student Escrow, Educational Technologies and Services, ETS Special Project Fund, ETS Travel Fund, COM Review of Systems, COM Visiting Students, COM Wellness, COM Transcript Fund, and specific COM student group accounts. Additionally, gathers data and analyzes accounts to provides timely updates to supervisors in previously mentioned offices.
- Coordinates travel arrangements and processing of paperwork for faculty, staff, and COM students for national and regional scientific and educational meetings far the offices of Student Affairs.
- Assists the COM students in preparing budgets, facilitating relationships with the University Student Government Association, and completing requests to be absent in efforts to streamline the process for COM student travel to scientific meetings.
- Reviews, reconciles and signs-off on monthly reports from the COM business office.
- Manages the COM student emergency loan program.
- Coordinates the ordering and payment for the NBME examinations for COM students for years M1-M3.
- Assists with summarizing the data necessary to prepare the annual budget requests.
- Coordinates with the COM Business Office regarding funds available for the COM Scholarship committee to award to current students.
- Coordinates COM Scholarship Committee meetings, records the minutes from meetings, drafts award letters to students, and prepares award paperwork including documentation of receipt of required FERPA Release Form.
- Coordinates receipt of contracts with dissemination to appropriate University officials for all major COM events to include Match Day, Honors Convocation, White Coat Ceremony, Honors and Awards Breakfast and other social college-wide events.
- Coordinates the budgets and accounts payable for all the major COM events to include Match Day, Honors Convocation, White Coat Ceremony, and other social college-wide events.
- Assists in the planning, implementation, and hosting, and coordination of the Wellness Council events, to include budget preparation, analysis, and forecasting.
- Assists in conducting various cost studies and analyses as requested.
- Coordinates the distribution and collection of building access key fobs for COM Medical Students.
- Serves as the liaison between the COM and University offices such as facilities and maintenance to ensure smooth operations of the physical building.
- Coordinates with the ETS Director to facilitate bid requests and purchasing of new equipment and supplies.
- Maintains journals and account ledgers of sufficient variety to require the use of professional accounting methods and techniques using a PC and calculator.
- Assists in onboarding of new staff with regards to training in the arenas of travel and promotion and tenure.
- Completes all EPAFs for the COM Office of Student Affairs, and the Office of ETS.
- Completes necessary forms and paperwork for Job Postings and reclassification requests.
- Responsible for ordering, receiving, and checking the accuracy of the COM Student diplomas.
- Oversees ordering, receiving, and checking for accuracy supplies, equipment and furniture for the COM Office of Student Affairs.
- Supports other staff and personnel when needed.
- Interacts with faculty, staff, administrators, and outside agencies in a professional manner.
- Ensures and respects confidentiality of various data and employee/student information.
- Utilizes a PC and calculator to prepare spreadsheets, reconciliations and other reports.
- Prepares financial reports using Microsoft Office and Banner.
- Serves as liaison for gathering sponsorships for COM events from AMA, Medical Society of Mobile County, and Medical Alumni Association.
- Regular and prompt attendance.
- Ability to work schedule as defined and additional hours as required.
- Related duties as required.
