The University of South Alabama’s department of College of Medicine – Admissions is seeking to hire an Assistant to the Director, College of Medicine Student Admissions. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
- Assists the Assistant Dean for Admissions and the Director of Admissions with little direction to ensure the coordination of all College of Medicine processes.
- Maintains the American Medical College Application Services (AMCAS) website database by updating each applicant’s status (over 1,000 per year) and submitting reports.
- Evaluates and helps select qualified candidates for interview.
- Plans and coordinates sixteen separate applicant interview days while working closely with the Admissions Committee to schedule interviews and organize each committee meeting.
- Interacts with administrators, faculty and staff and ensures confidentiality in all Admissions Committee communications.
- Maintains contact with applicants regarding their acceptance status.
- Creates new student files for all accepted students in Banner and runs necessary Banner reports.
- Provides weekly reports to the Dean of the College of Medicine (COM) and Assistant Dean for Admissions using Microsoft Excel and Word formats.
- Manages office flow when senior personnel are not in the office to include assigning duties.
- Maintains Banner Finance and attends all Banner Team meetings and tests all Banner updates.
- Creates and manages all requisitions and processes applications fees and refunds, including close interaction with Student Accounting and the COM Registrar’s Office.
- Manages student assistants, temporary employees or other clerical staff as needed to maintain all application each year, including supervising payroll and timesheets.
- Answers phone calls, distributes mail, plans visitation days, assists in brochure management and website maintenance.
- Counsels prospective students by phone, email, and in-person.
- Orders office supplies and printed materials from publications, submits maintenance requests, keeps office equipment in working order.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
