Position Description

Advertised Job Summary

Coordinates and directs the processing of replacement and notarized diploma requests. Assists the Deputy Registrar with the registration/withdrawal appeal process. Assists with priority rebuilds, readmit rebuilds, and legacy transcript rebuilds. Monitors multiple email resource accounts. Completes special assignments as needed.

Job Related Minimum Required Education And Experience

Requires a bachelor’s degree and 1 or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience.

Preferred Qualifications

Required Certification, Licensure/Other Credentials Preferred Qualifications

Preferred qualifications include work experience in a registrar’s office or student services as well as working knowledge of USC academic policies and procedures. Experience with grading systems and student records is highly desirable. knowledge of client/customer service principles preferred.

Knowledge/Skills/Abilities

Excellent oral and written communication skills are required. Knowledge of academic policies and procedures. Excellent keyboarding, data entry, and word processing skills. Must communicate effectively and professionally with faculty, staff, and students.

Job Duties

Job Duty

Coordinates and directs the processing of replacement and notarized diploma requests. Coordinates responses to faculty, staff, and students regarding diplomas, address confirmations, diploma name changes, diploma holds, and related matters. Maintains diploma codes and academic dean signatures within DiploMatic.

Essential Function Yes Percentage of Time 30 Job Duty

Assists the Deputy Registrar with the registration/withdrawal appeal process. Provides administrative support to the Tuition Refund Appeal Committee. Communicates pertinent information and relays upcoming dates and deadlines to university constituents.

Assists with priority rebuilds, readmit rebuilds, and legacy transcript rebuilds. Serves as secondary processor for graduation application requests and degree approvals.

Essential Function Yes Percentage of Time 15 Job Duty

Monitors multiple email resource accounts. Coordinates responses to faculty, staff, and students regarding academic policies and registrar procedures. Responds to all requests in a prompt and professional manner. Forwards situations requiring escalation appropriately.

Coordinates possible honors / final honors processes and updates thesis titles. Proofreads the commencement program. Participates in commencement ceremonies as assigned. Completes special assignments as needed.
