Serve as Executive Assistant to the Associate Vice President (AVP) of Communications. Executes various confidential and complex administrative support functions for and on behalf of the Office of University Communications.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Excellent customer service skills. High level of organization and ability to multi-task. Excellent verbal and written communication skills. Ability to develop and foster successful working relationships with various stakeholders. Proficiency with Microsoft Office suite.

Executes confidential administrative support functions for and on behalf of the Office of University Communications. Communicates independently on a daily basis, both written and orally with internal and external stakeholders. Administrative support duties include preparing correspondence, answering calls, and reviewing paperwork to ensure that it is complete and accurate. Manages the central telephone and related calls for the Office of Communications.

Manages the calendar for the Associate Vice President with accuracy and discretion. Research, compiles, and organizes materials for meetings, events and speaking engagements. Coordinates and schedules meetings, plans and prepares agendas and disseminates information pertaining to pertinent matters and agenda items to the appropriate people. Secures meeting space when needed.

Manages all aspects of travel arrangements for the Office of Communications to include travel arrangements, accommodations, meetings, registrations, reimbursement, and contracts. Prepares and processes pre and post travel documents including the USC Travel Authorization Form and USC Travel Reimbursement Voucher. Assists with the planning and implementation of special events to include document preparation, itineraries, reservations, catering, set-up/clean-up, guest parking, etc.

Serves as liaison between Office of Communications leadership and HR to ensure HR needs are met and actions are accomplished timely. Serves as Time and Absence Approver to approve timesheets and/or leave requests in the absence of Office of Communications leadership.
