Position Description

Advertised Job Summary
Under the limited supervision of the Psychology Undergraduate Director, you’ll be the go-to person for developing, conducting, supervising, and coordinating the daily administrative activities of our office. You’ll help maintain the academic records of over 1500 majors, providing essential consultation for our dedicated faculty and valuable input to the program director and Undergraduate Committee on advisement procedures, progression policies, and student services.


Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Preferred Qualifications
Master’s degree in Student Services or related field, or bachelor’s degree and 2 years related experience. Knowledge and experience of USC policies and procedures.

Knowledge/Skills/Abilities
Excellent oral and written communication skills. Excellent organizational skills and managerial skills. Supervisory experience in a managerial or personnel role. Excellent working knowledge of MS operating systems such as Word and Excel.

Assists academic advisors in the counseling and advisement of current and prospective psychology majors on admission, progression, and graduation requirements. Assists advisors with processing student progression screening and notifying students who do not meet major requirements. Processes student petitions, independent study forms, internship contracts, study abroad forms, and other forms for course enrollment. Provides departmental overrides.

Writes, edits, and updates program information. Makes updates to undergraduate handbook, advisement manuals and web-based departmental resources in conjunction with the UG Director. Supports updates to the Psychology website and other University systems (e.g., Academic Office contact updates), including undergraduate program events, accomplishments, scholarship/award opportunities, student features, etc.

Enter the course schedule information into the university scheduling system for Fall, Spring, May, and Summer Sessions, including processing new courses, course restrictions, cross-listing, etc. Review draft schedules for accuracy and room assignments. Reserve rooms for classes scheduled to meet in Barnwell College. Prepare special topic and course and curriculum change forms. Serves as backup to the Student Services Coordinator II (Graduate Program Coordinator) with coordinating/submitting the graduate level course schedule for each semester.
