Position Details
The Office of Academic Success Initiatives at The University of Tampa has a position for a Staff Assistant II. This position will provide support for day-to-day operations of the Office supporting students, faculty, and staff. This position reports to the Senior Director of Academic Success Initiatives.
Responsibilities
- Provide administrative support for the Senior Director of Academic Success Initiatives and the Office of Academic Success Initiatives.
- Provide excellent customer service to students, faculty, staff, families, and external constituents.
- Greet students visiting the office, check students in for appointments, and assist students with other inquiries and requests.
- Answer phones and assist callers to successful resolution of their requests and take messages as appropriate.
- Monitor office email accounts and respond or forward as appropriate.
- Maintains the office’s calendar of processes, communications, and events.
- Monitor departmental budget, manage expenditures, prepare purchase requisitions, and submit invoices for payment.
- Maintain office inventory and supplies.
- Schedule meetings with various campus stakeholders with busy calendars.
- Assist with planning and setup for meetings and events, including submitting room reservation, media, and catering requests.
- Coordinate sending and receiving requests for information and updates from campus departments.
- Assists in planning and making travel arrangements.
- Prepare reports, memos, letters, agendas, meeting minutes, and other documents using word processing, spreadsheet, database, and/or presentation software. Maintain confidentiality as appropriate.
- Perform data entry.
- Utilizes software such as Microsoft Office, Workday, EAB Navigate, and OnBase.
- Other duties as assigned.

Qualifications
- High school diploma required. Some college is preferred.
- Minimum 2 years administrative experience.
- Proficient in Microsoft Office.
- Excellent written, oral, interpersonal, and customer service skills required.
- Ability to multi-task, establish priorities, and manage time wisely.
- Attention to detail and organizational skills needed.
- Knowledge of, or the ability to learn quickly, University of Tampa software programs such as Workday, EAB Navigate, and OnBase.
- Willingness to embrace new technologies and innovative organizational practices.

Work Schedule
Monday-Friday, 8:30 a.m. to 5:00 p.m.
Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.
Occasional evenings and weekends may be required.
