Job Summary
This Administrative Assistant I will support the Maverick Pantry Team by assisting with a variety of administrative duties under general supervision. This position will support the Maverick Pantry by performing various routine administrative duties daily requiring exercise of independent judgement, initiative, and ability to make decisions relative to office operations. May handle confidential and sensitive material.
Essential Duties and Responsibilities
- Assist with processing financial transactions including purchases orders, voucher payments, procurement cards, travel arrangements and expense reports.
- Reconcile departmental financial accounts; review and approve financial transactions including vouchers, deposits, transfer of funds, and reconciliation of department employee’s company credit card accounts. Order supplies and assists with procurement for the Maverick Pantry as needed.
- Create routine correspondence and processes for the Emergency Assistance Fund to address requests, including the submission of e-forms. Will maintain files and records for the Maverick Pantry and Emergency Assistance Fund.
- Help maintain Pantry Soft and other information systems related to the Maverick Pantry and the Emergency Assistance Fund.
- Support day-to-day operations of the Maverick Pantry, including student employee/volunteer scheduling and serving students using the pantry by checking them in/out as needed.
- Assist with management and coordination of student employee pre-employment/onboarding process and initiate criminal background checks.
- Verify hours for student employees using internal timekeeping systems.
Minimum Qualifications
- High school diploma with a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.
Preferred Qualifications
- An associate degree or a bachelor’s degree.
- Experience with department budgets.
- Experience processing basic financial transactions.
- Experience with PeopleSoft.
- Experience with University of Texas at Arlington policies and procedures.
Knowledge, Skills and Abilities
- Excellent oral and written communication skills and attention to detail.
- Solid organizational, decision-making, problem-solving, and critical thinking skills.
- Proficient in Microsoft Suite – Word, Excel, and Outlook.
- Ability to exercise initiative and independent judgment (work independently).
- Ability to resolve routine problems and make decisions.
- Ability to draft, read and comprehend a variety of correspondence.
- Ability to manage time effectively and prioritize work.
