Purpose

The Student Affairs Program Coordinator's role will be to support the mission of the School of Civic Leadership by coordinating and managing events, facilitating student engagement, and fostering strong relationships with campus and internal partners. This position ensures seamless execution of prospective, admitted, and current student events, overseeing logistics, resource management, and communication efforts.

Responsibilities
  • On behalf of the School of Civic Leadership, collaborate and maintain positive relationships with various campus partners to coordinate information sessions, School of Civic Leadership office hours, UT Texas Preview and UT Hooked on College.
  • Manage RSVPs for virtual and on campus Prospective Student events, Current Student Events, and Admitted Student Events. Direct event set up and break down, ensuring necessary resources are available. Greet prospective students and parents with a warm welcome. Coordinate with appropriate campus partners for virtual events to have adequate technology set up. Assist event hosts as necessary.
  • Maintain event supplies, ensure adequate amount of print materials, signs, and swag. Create and actively maintain supply inventory list, ordering additional materials as necessary. Purchase materials using various approved vendors by Procard and purchase order in collaboration with Business Affairs Administrative Manager.
  • Attend internal meetings to stay abreast of internal and University purchasing policies.
  • Assist in website SCL revisions.
  • Write in depth summaries of School of Civic Leadership events, providing content for School of Civic Leadership forum.
  • Oversee admitted and current student event logistics, schedule yield events. Engage in website revisions as necessary.
  • Act as back up to Senior Administrative and Program Associate as necessary.
  • Collaborate with internal administrative partners to maintain upkeep of Littlefield Home and Littlefield Carriage House office supplies.

Required Qualifications
  • Bachelor's degree with three years of relevant experience.
  • Demonstrated interest in the mission of SCL.
  • Excellentinterpersonal, verbal, and written communication skills.
  • Demonstrated organizational skills and ability to manage multiple tasks simultaneously to meet deadlines in a timely manner.
  • Proficiency with Microsoft Office suite.
  • Ability to interact and maintain productive working relationships with a broad population of faculty, staff, and students and maintain a positive and professional demeanor.
  • Ability to take initiative and work both independently and as a team member.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Experience using UT mainframe, and other UT applications.
  • Knowledge of the UT policies and procedures.
  • Experience planning, budgeting, and executing small to mid-sized events, including vendor coordination.
  • Advanced skills in the use of Microsoft Office applications.

Salary Range

$56,000 depending on qualifications

Employment Eligibility:

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
