Salary

Salary Range: Up to $36,000 annualized, commensurate with education, experience and qualifications.

Hours per Week

Non-Exempt Position: 40 hours per week.
  • Standard work hours will be 8 a.m. - 5 p.m.
  • Occasional nights and weekends when there are events that must be staffed.

Essential Functions

Function: To provide advanced administrative and clerical skills for Student Disability Services.

Scope: Responsible for the oversight and supervision of student clerical staff and for the daily student interactions in order to provide information for use by the department administrators.

Typical Duties:
  • Acts as the primary receptionist; answers the telephone, greets and screens visitors, advises students, administrators and staff regarding administrative or academic policies and procedures.
  • Maintains and assists in all reception/front desk activities including but not limited to basic office coverage, policy and procedures questions, assisting students who want to request services, assisting students who are requesting accommodations, and assisting Disability Specialists with appointments.
  • Responsible for the daily opening and closing of office each day, check phone for messages and assist with inventory.
  • Receives, sorts, screens and distributes mail and incoming communications. Evaluates mail for supervisor.
  • Type, proofread, edit and produce in final form correspondence, case notes, forms, reports, and other materials and special projects. Composes moderately complex correspondence via email and paper.
  • Maintain various database entries including but not limited to SDS student information data, accommodation log, documentation log and contact logs specific to SDS.
  • Assist Senior Administrative Associate in receiving and copying documentation submitted to SDS for review by the Documentation Review Committee.
  • Assist Senior Administrative Associate in the oversight and maintenance of digital student files including but not limited to the distribution of accommodation notification email.
  • Serve as the overall "backup" to Senior Administrative Associate in their absence and/or as directed.
  • Assist and maintain a wide variety of complex academic, fiscal and administrative records and files consisting of official and confidential matters.
  • Purchases basic office supplies using a university procard and maintain a procard log in accordance with all university fiscal policies and procedures.
  • Hire, train, supervise, schedule and support the activities of all student employees including the ongoing evaluation of their performance.
  • Perform other duties as assigned.

Periodic Duties:
  • Collaborate and support other Student Disability Services staff and student employees to meet the needs of the office.
  • Assist in the creation and distribution of staff meeting minutes.
  • Call Facilities regarding any problems with maintenance of office, doors, elevators, etc.
  • Participates in department and division-wide quality improvement activities and meetings as necessary.



Required Qualifications
  • High School diploma or GED and six years of increasingly responsible administrative, clerical or office experience. A Bachelor's degree may substitute for four years of experience.
  • Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.

Preferred Qualifications
  • Bachelor's degree
  • Similar experience with three or more years in higher education.
  • One year of supervisory experience.
  • Proficiency in the use of English grammar, spelling, and business math.
  • Experience using Microsoft Outlook, Word and Excel (or equivalent).
  • Excellent communication skills both written and oral.
  • Knowledge of current methods and systems of bookeeping, filing, and purchasing.
  • Highly organized, detail oriented, ability to multi task to meet deadlines.

Working Conditions

Working Conditions:
  • Usual office conditions.
  • Occasional overtime and/or travel may be required.

The primary work location for this position will be on campus. Travel and parking expenses are the employee's responsibility.
