Brief Description of Duties

Reporting to the Director of the Accessibility Resource Center (ARC), the Project Assistant provides high quality administrative support for Accessibility Resource Center (ARC), coordinates all office functions and contributes to the overall success of the ARC. Provides operational support to strengthen the coordination and management of the ARC, tracks deliverables and improve workflow. Interacts with students, staff, faculty and external stakeholders and utilizes knowledge of departmental policies and procedures to perform initial triage of calls and service requests, prioritize activities, and increase the overall effectiveness of the ARC.

Essential Duties and Responsibilities

  • Coordinates the accommodation intake process for the Accessibility Resource Center (ARC); Provides prompt, professional responses to all inquiries, service/meeting requests, and referrals.
  • Provides comprehensive records management for the ARC to ensure information is appropriately filed, in a timely manner and confidentiality maintained. Assist in the establishment and maintenance of an electronic database and reporting system.
  • Performs and manages daily office operations. Receives and routes correspondence; manages inventory and procurement to ensure that needed materials and supplies are available and office equipment is maintained. Makes recommendations for improving departmental systems, processes and operations.
  • Provides administrative support to ARC Counselors and Director.
  • Tracks and monitors budget expenditures (including unit contracts), completes purchase requisitions, reconciles expenditures, and organizes budget documentation for items such as contracts, office supplies, travel, professional development trainings, etc.; Communicates with contractors and vendors regarding services provided.
  • Tracks and monitors projects; assists with research, monitors service trends and prepares and submits written reports on services, programs and activities.
  • Coordinates support (interpreting services, etc.) for campus/community-wide events (e.g., graduation, convocation), and student workshops.
  • Plans and implements project activities including collaborating with institutional and external partners, organizing virtual and in-person meeting logistics (e.g. scheduling, virtual or physical set up, space reservations, document preparation, ordering promotional items, refreshments etc.)
  • Assists with hiring, training, and supervision of student workers; creates schedules, assigns tasks, and tracks time and attendance.
  • Assists with developing and maintaining departmental resource handbooks, manuals, guidelines, and web-site information.
  • Performs other duties as assigned.
Minimum Job Requirements

  • Bachelor's degree in Education, Social Sciences, Business Administration, or a related field. Equivalent work experience may be considered in lieu of a degree.
  • 3-5 years of related work experience, preferably in an academic setting
  • Demonstrated strong organizational skills, project management and effective decision making.
  • Experience with budget management.
  • Experience with Banner is desirable.
  • Experience with student services delivery in higher education, preferably with non-traditional students and/or students with disabilities preferred.

Condition of Employment: This is a sponsored program appointment. The duration of this appointment is subject to grant fund availability.
