Position Title Director of Business Office

Position Summary

The Director of Business Office is responsible for planning, directing and managing the daily operations of the Business Office activities for both the university and St Anthony Catholic High School. The position ensures accurate and timely processing of tuition and fee billing, accounts receivable, collections, and financial transactions. The Director also ensures compliance with all UIW policies and procedures as well as rules and regulations promulgated by federal, state, and local agencies. The Director of Business Office reports to the Associate Vice President for Business & Finance/Comptroller.

Job Duty Name Administration of the Business Office

Description Of Job Duties

  • Manages the daily operations of the Business Office at the University and St. Anthony Catholic High School and satellite locations.
  • Reviews and updates policies and procedures for student services.
  • Stays abreast of governmental and regulatory compliance and makes necessary changes to internal processes, as appropriate.
  • Regularly assesses the effectiveness of the business office procedures and recommends enhancements to drive efficiency and service quality.

  • Supervises a team of administrators and staff, providing guidance, support, and professional development opportunities.
  • Interviews, selects, evaluates, and ensures appropriate training of new staff.
  • Provides oversight to staff and ensures coaching, counseling and corrective actions are taken as appropriate.
  • Fosters a positive and collaborative work environment that encourages teamwork.

Description Of Job Duties

  • Oversees the management of accounts receivable, collections, and the recording of funds for student accounts and various departmental revenues.
  • Ensures accurate and timely billing and processing of tuition and fees and reporting for the University and St. Anthony Catholic High School.
  • Ensures that all financial transactions and records are in compliance with applicable federal, state, and local regulations, university policies, internal controls, and academic program guidelines.
  • Maintains understanding of university billing and refund policies, institutional and FERPA confidentiality regulations, and Federal Title IV cash management regulations.
  • Supports merchant services and payment gateway transactions.
  • Ensures accurate and timely filing of required IRS tax forms (i.e. form 1098-T, etc).
  • Develops and implements procedures and policies to document financial operations.
  • Identifies and implements improvements to streamline operations, enhance revenue collection, and reduce financial risk.

  • Ensures the maintenance of the student module and supporting systems.
  • Collaborates with high school on the FACTS tuition management system.
  • Evaluates and recommends software development that can improve efficiency of the departmental operations (i.e. payment system, communications, collections, and e-billing).
  • Identifies quality control reports for use in operations improvement.

  • Reviews reconciliations of respective Business Office trial balance accounts, to include bank, payment gateway, and high school accounts.
  • Reviews account reconciliation of student related accounts.
  • Reviews audit workpapers.
  • Conducts periodic cash audits.

Qualifications

  • Strong leadership and management skills.

  • Strong analytical and critical thinking skills to generate reports that provide insight into financial trends.
  • Knowledge of student receivable operations to ensure that charges and payments are applied accurately and timely.
  • Knowledge of Accounts Receivable, payment, and cashiering systems.
  • Knowledge of student registration functionality, financial aid award processes, and student loan operations.
  • Knowledge of applicable governmental and regulatory compliance.
  • Knowledge of IRS rules related to 1098-T requirements.
  • Proficiency with financial software and systems (e.g. Banner student module, Accounts Receivable, Transact ePayment) and other cashiering systems.
  • Ability to ensure compliance with legal requirements and government reporting regulations affecting the business office.
  • Ability to prepare and review work papers for internal and external audits.
  • Ability to analyze, review, and reconcile accounts related to the student and finance module.
  • Ability to effectively work well under pressure, pivot to changing priorities, and meet sensitive deadlines.
  • Ability to prepare clear and concise reports.
  • Ability to work independently and as part of a team; strong work ethic; and ability to multitask.
  • Must possess excellent written and verbal communication, analytical, and critical thinking skills.
  • Ability to establish and maintain effective working relationships with subordinates, co-workers, supervisors, and community.
  • Ability to provide exceptional customer service.
  • Skill in operating a calculator and/or ten key adding machine.
  • Proficiency in the use of Microsoft Office applications (i.e. Word, Excel, PowerPoint and Outlook); Banner or similar software experience.

  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA .

Required Education

Bachelor’s Degree from an accredited college or university with an emphasis in accounting or relevant field.

Required Work Experience

  • Eight (8) years of progressive experience with business operations or student financial services in higher education. Experience in other relevant area will be considered.
  • Three (3) years of supervisory experiencein a relevant professional setting.

Preferred Qualifications

  • Bachelor’s Degree or higher in Accounting.
  • Banner Receivable/Student Module software experience.
  • System reporting experience (i.e. ARGOS )
