TITLE: Talent Acquisition Specialist

JOB OVERVIEW: The Talent Acquisition Specialist supports the Talent Acquisition team in implementation and administration of Valley Medical Center's comprehensive recruitment programs that support the efforts in recruiting a world class workforce. These duties include coordinating the employment process in moving from an applicant to becoming an employee, including all pre-employment paperwork, requesting reference and background checks, in addition to other required processes and procedures.

DEPARTMENT: Human Resources

WORK HOURS: Full time; Typical hours are Monday - Friday 7:30 - 4 or as arranged.

REPORTS TO: Director, Talent Acquisition & Onboarding

PREREQUISITES :

  1. Bachelor's degree in Business, Human Resources or relevant field, required. Relevant and applicable experience may substitute degree requirement.

  2. Minimum three years relevant experience in an HR Assistant, HR Coordinator, Talent Acquisition Coordinator, or similar role, preferred.

  3. Experience with Applicant Tracking systems, required.

  4. Highly proficient with Microsoft Suite including Word and Excel; strong HRIS experience.

  1. Able to identify and resolve problems in a timely manner while gathers and analyzes information skillfully.

  2. Must always maintain strict confidentiality.

  3. Must demonstrate excellent customer care and focus to assess team member needs.

  4. Must be a team player demonstrating strong teamwork and collaborative skills while delivering excellent customer service.

  5. Identifies and resolves problems in a timely manner and gathers and analyzes information skillfully.

  6. Strong written and verbal communication skills in a diverse population.

  7. Adapts to changes in the work environment manages competing demands and can deal with frequent change, delays or unexpected events.

  8. Ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with professionalism and confidentiality.

  9. Able to work independently with little or no supervision.

  10. Able to make independent decisions/judgments about work priorities; requires initiative and independent judgment in non-routine matters.

  11. Requires the ability to organize and prioritize work and to handle multiple demands simultaneously.

  12. Presents numerical data effectively and is able to read and interpret written information.

  13. Prioritizes and plans work activities, uses time efficiently and develops realistic action plans.

PERFORMANCE RESPONSIBILITIES :

  2. Essential Responsibilities and Competencies:

  1. Provides varied administrative support within the Talent Acquisition team in support of recruitment and onboarding related activities.

  2. Serves as a resource to all new team members as it relates to recruitment and onboarding activities.

  3. Perform customer service functions via telephone, e-mail and in person in support of Talent Acquisition programs.

  4. Coordinate the employment process, including but not limited to ensure all new hire and pre-hire paperwork is completed, references are submitted, background checks and drug screenings are ordered.

  5. Manage all process issues with candidate drug screenings and background checks.

  6. Prepares requisitions for recruiters to post, ensuring compliance and accuracy and assist with requisition closing in ATS.

  7. Supports the development of and assists with the administration of organization-wide recruitment programs, ensuring they align with Valley Medical Center's goals and industry best practices.

  8. Ensures accurate and timely record keeping, reporting and updating of new employee information, personnel files and records.

  9. Complete all post New Employee Orientation activities, ensuring employee files are complete and ready for filing.

  10. Perform necessary audits to ensure compliance with all state, and federal regulatory guidelines.

  11. Collaborates with multi-disciplinary teams to develop internal communication avenues and ensures the accuracy of information posted on company portals or other forms of communication.

  12. Maintains Talent Acquisition SharePoint to ensure accurate information and documentation is posted.

  13. Facilitates and executes employee referral and sign on incentives.

  14. Attend recruitment job fairs on behalf of Valley Medical Center.

  15. Responsible for Talent Acquisition internal audit requests

  16. Assist internal and external applicants with online applications, respond to inquiries involving the employment process.

  17. Supports the TA Partners, assisting them with daily tasks and duties as directed.

  18. Assist with Recruiting processes.

  19. Maintain understanding of company hiring policies and procedures.

  20. Assist Talent Acquisition Partners and HR Leadership with various special projects.

  21. Assist with HR front desk coverage and backup support when needed.

  22. Performs other duties as assigned.
