Job Summary

This position is a leader for the University of West Georgia within the Division of Student Affairs and is located in University Recreation and Campus Center as a full-time, 12-month position
with benefits. The Coordinator of Facilities and Events directly reports to the Associate Director of Operations of University Recreation and Campus Center and will supervise a team of
undergraduate student employees. The Coordinator of Facilities and Events assists the Associate Director with the overall management of the Campus Center, University Recreation, and the University Community Center (UCC) in the areas of facility operations and event management. This role provides guidance and training for student staff members while providing support for event and facility management. The Coordinator will work directly with the Associate Director to make the Campus Center and the UCC an engaging environment for all students while maintaining
a large facility and monitoring risks.

Responsibilities

1. -
Oversee the recruitment, selection, training, discipline when appropriate, and management of all team members in the Event Management and Game Room area of University Recreation.
Personnel serving in these roles are responsible for facility reservations, event management, building safety and security, cleaning equipment, basic maintenance functions, emergency
response, and resolving customer service and access issues. Responsible for receiving, scheduling, and confirming facility reservations over 7,000 reservation requests annually, along with
placing confirmed events into Reserve West (campus-wide scheduling system) and coordinating one-on-one meetings with event organizers to determine event needs, scope, and all event
specifics. Responsible for the day-to-day operation of the approximately 2,500 events held in the Campus Center annually, which include cleanliness, efficient operation, customer service,
and minor repairs and maintenance. Assist with invoicing, submitting contracts to outside organizations, and walk-throughs for special events. Assist with managing the Game Room facilities
and equipment while overseeing the maintenance of the hardware and software components.

Assist with creating and monitoring the UREC Event Management program budget of approximately $100,000, including student wages for essential student facility personnel and operating supplies such as cleaning items, A/V equipment, service contracts, repairs, uniforms, etc. Assist with completing monthly budget reconciliation for student wages and operational expenses and monthly report highlighting updates, areas for improvement, personnel training and development, and other statistical information for Event Management. Assist in developing a repair and replacement budget for necessary furniture, fixtures, and equipment (FF&E) in the Campus Center.

Review daily inspections conducted by student events team members to ascertain deficiencies. Handle deficiencies appropriately through contact with University Facility Operations, Housekeeping, etc., as needed. Conduct monthly facility inspections, noting deficiencies for recordkeeping purposes, and correct minor deficiencies through the appropriate University or external channels. Notify the Associate Director of Operations of major deficiencies or immediate problems affecting patron safety and security. Manage all external maintenance service contracts for electronic & AN equipment and internal relationships with the ITS department to troubleshoot technical issues that arise in the Campus Center and the UCC. Maintain knowledge of EMS (campus-wide scheduling system vendor) to troubleshoot and resolve technical issues when they arise and make quarterly back-end adjustments to the system.

Create, update, and enforce all Campus Center rules, regulations, and policies. Other duties as assigned

Required Qualifications

Bachelors Degree

Required Experience
Event operations experience that includes management of a large student team. Strong communication and customer service skills. Ability to work collaboratively with students, faculty, staff, and
members of the community at large.

Master's Degree

Preferred Experience
Master's Degree in Student Affairs, Business Administration, Sports Management, Recreation, Communications, or other related field. Two or more years of progressive experience in
event management/operations in university recreation. Experience supervising multiple levels of staff, including undergraduate and graduate.

Proposed Salary

$19.61 Hourly. Paid on a Bi-Weekly Basis.

Physical Requirements: Lifting - up to 20Ibs or greater Office Environment - Work normally performed in a typical interior work environment.
