Job Summary:

We are seeking candidates to apply for the rare opportunity to join a newly created department in the School of Medicine and Public Health as an administrative leader. The Associate Director for Research Administration, in partnership with the Vice Chair for Research, will support the advancement of the Department of Otolaryngology-Head and Neck Surgery research mission through personnel management, strategic planning, and direct support of various aspects of the department's research portfolio.

The Department of Otolaryngology-Head and Neck Surgery (Oto-HNS), to be established as an individual department in July of 2025, is currently based in the Department of Surgery. Oto-HNS has a current extramural funding portfolio of $28M (total budgeted awards) and $6.2M in funding for 2024. Oto-HNS investigator research encompasses virtually all fields of medical research, including basic, translational, health services/outcomes, and clinical trials. This research occurs within a highly productive clinical department, providing subspecialized otolaryngology care to adult and pediatric patients from across Wisconsin and the region.

Responsibilities:

Leads operations and personnel related activities in one or more areas of sponsored programs, grants, contracts, or research administration through the grant life cycle from proposal preparation through closeout. Develops and oversees implementation of operations and strategic planning to ensure compliance with regulatory requirements within a unit. Leads a significant programmatic unit and personnel.
  • 10% Implements research administration operational policies and procedures including financial, administrative, staffing, and compliance
  • 10% May review and approve programmatic transactions spanning the life-cycle of sponsored projects to ensure compliance with policies and procedures
  • 20% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 25% Serves as the unit liaison to internal and external stakeholder groups providing organizational information and representing the interests of the unit
  • 25% Executes activities related to proposal submission, contract negotiation, and/or award setup on behalf of a unit
  • 10% Executes activities related to financial compliance, audit, or reporting on behalf of a unit

Qualifications:

Required Qualifications:
  • Pre-award and/or post-award research administration experience
  • Knowledge of NIH and other sponsor policies, procedures, and submission requirements

Preferred Qualifications: Highly qualified candidates will demonstrate at least one of the following preferred qualifications:
  • At least 5 years of research administration experience
  • Strategic planning experience
  • Direct experience managing federal training grants (e.g., T32)
  • Higher education research administration experience in an institution with significant research activity
  • Contract negotiation and contract management experience

License/Certification:

Preferred

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Additional Information:

University sponsorship is not available for this position, including transfers of sponsorship.
