Position Summary
Collaborates with and supports students, faculty, and staff in the development, implementation, and maintenance of student records, curricular, and degree requirement data and systems. Reporting to the Associate Director of Admissions, the Enrollment Services Specialist supports undergraduate application and student record processing while managing New Student Registration and Wisconsin Placement Test processes. The ideal candidate will have effective communication skills, the ability to organize and prioritize tasks, technical proficiency, flexibility, and a collaborative mindset. As a key member of the Admissions team, this individual will play a vital role in delivering exceptional service throughout the admission and enrollment process.
This position can be considered for hybrid work with an approved telecommute agreement upon hire. It will not be 100% remote. Flexible work options will be discussed with candidates during the hiring process.
Responsibilities
Admissions and Enrollment Process for Undergraduate Students
- Collaborate closely with faculty, staff, and administration to drive the successful enrollment of undergraduate students.
- Serves as an expert in the creation, accuracy, and maintenance of student records and curricular and degree requirement data within the student information system to ensure data integrity.
- Facilitates the admission and evaluation process for undergraduate applicants, ensuring a thorough and efficient review of applications.
- Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records
- Manages the matriculation and term activation process for all undergraduate student types.
- Contributes as a key member of the Admissions team, focused on recruiting and enrolling a diverse, high-achieving student body.
- Develops and maintains documentation on admissions and enrollment business processes.
- Performs additional duties as required to support department goals and initiatives.
New Student Registration Process Coordinator
- Works in cooperation to provide data, information, and support for New Student Registration programs.
- Manages the preparation of all New Student Registration advising materials (test credits, transfer courses, student lists, and registration advising forms, etc.).
- Collaborates with academic and administrative offices to resolve complex enrollment discrepancies in student records and academic information. Audits and corrects data to ensure accuracy and completeness.
- Manages online student registration through EAB Navigate360.
- Resolves technical and/or student account-related issues.
- Participates in systems testing and develops and maintains documentation on business processes
- Writes or modify queries and reports as needed to inform departments and other university offices of student attendance.
- Assists with program management and evaluation as needed to ensure the success of the registration programs.
- Manages all invitations and confirmations for New Student Registration processes.
Placement Test Coordinator
- Ensures prompt distribution of information about the Wisconsin Placement Test (WPT) to new students and members of the campus community.
- Answers questions from campus personnel, students, and parents regarding placement testing. Consult with academic departments as needed.
- Ensures test scores are accurately entered into eSIS and are available to students and advisors.
- Addresses any concerns or situations regarding testing and test scores, coordinate with the Testing Center in Madison to resolve situation if necessary.
- Represents UWRF at annual Site Coordinator meetings in Madison where changes to the tests, the program itself, test administration irregularities, and other concerns are addressed. Distribute this information to other members of the campus community as needed.

- Bachelor’s Degree from an accredited institution.

Qualifications (Preferred):
- 2 years of experience in admissions, enrollment management, student records, or a related field in higher education.
- Working knowledge of Student Information Systems (Peoplesoft) and/or Customer Relationship Management (CRM) tools.
