The Registrar Office at the University of Wisconsin-Whitewater seeks an Assistant Registrar (AE225).
JOB DETAILS:
The Assistant Registrar assists and supports the University Registrar in planning, organizing, directing, and coordinating various facets of the operations of the Office of the Registrar. The Assistant Registrar provides highly responsible supervisory and technical work in the oversight, maintenance, and operation of the Registrar's Office. The Assistant Registrar works as a team leader with the Registrar staff to develop policies and practices and to manage, monitor, and recommend improvements for Registrar office functions. As well as directs daily operations, to include maintenance of student enrollment records and transcripts, organization of registration procedures, organization of scheduling procedures, and catalog publishing and maintenance. This position is also responsible for effective communication to students, faculty, staff, and the public through the website and messages to constituencies. The Assistant Registrar provides responsible supervisory and administrative work involved in giving direction to staff, oversees training programs, including FERPA and other security and privacy requirements. This position serves on university committees as appropriate and supports the University Registrar in various University initiatives, and he/she participates in other Registrar Office projects and team assignments as requested. The Assistant Registrar provides responsible supervisory and administrative support to the University Registrar by giving direction to all staff and provides leadership for excellent customer service in the office. The Assistant Registrar assists with commencement planning and day of ceremony organization. The Assistant Registrar is a member of the Enrollment and Retention team and is an integral part of a positive, efficient, and productive work environment in the Office of the Registrar.
This position reports to the University Registrar.
QUALIFICATIONS:
Minimum Qualifications:
- Bachelor's degree and five years' experience with a combination of registrar and higher education experience.
- Two years' experience supervising and managing personnel.
- Experience with student information systems, degree audit, and curriculum systems; or experience working with a variety of computer applications and data systems used in a records office.
- Experience in interpreting and applying regulations or policies and procedures.
Preferred Qualifications:
- Master's Degree in related field
- Experience working in a University Registrar's Office
- Experience with PeopleSoft student information system CourseLeaf CIM/CAT, 25Live

RESPONSIBILITIES:
- Provide leadership and guidance to records and enrollment services functions by:
- Provide leadership and guidance in all areas of student records, registration, enrollment services, transcript services, verifications of enrollment, and customer service.
- Provide leadership and develop appropriate recommendations for the implementation of related technology applications in support of enhanced services.
- Monitoring daily operations to ensure a smooth delivery of services.
- Analyze and interpret workflow to assign work and identify training needs.
- In collaboration with the University Registrar, determine and develop procedures and policies for the delivery of the following services: registration, records, grading, and enrollment certifications.
- Evaluate current procedures and policies and develop and implement changes.
- Inform staff of procedural and policy changes.
- Oversee management Systems (i.e. PeopleSoft and Workday) and other system training for staff, faculty, administrators, and students.
- Oversee beginning and end of term processing and other academic records functions.

Manage university curricular information and procedures by:
- Directing and supervising staff responsible for compilation, editing, and maintenance of the University Catalog
- Provide guidance and expertise to departments and colleges during curricular meetings and the catalog editing process.
- Recommend and participate in university policy and procedure decisions as they relate to curricular changes.
- Providing expertise in the publication of the university catalog, reviewing materials, and other publications that contain information on courses, majors, departments, registration, etc.
- Coordinate with the Provost Office on curriculum procedures and deadlines.

Provide leadership and guidance to scheduling services by:
- Plan, schedule, direct, and evaluate all areas of Scheduling Services.
- Create the data/structure for the scheduling cycle.
- Communicate important deadlines to faculty, students, and staff in a timely and effective manner.
- Maintain an accurate inventory of classroom space and attributes, while continually supporting and developing procedures.
- Understand and explain policies and laws as they relate to the use of university facilities and course offerings and provide information on classroom scheduling to the university on the web and in other formats.
- Maintain information with media services, facilities management and campus police for use, maintenance and security of rooms and equipment.
- Assist the University Registrar with planning and development of scheduling policy.

Assist with Commencement planning and organization:
- Assist with commencement setup.
- Assist with training and walkthrough of the facility.
- Coordinate special seating for VIP guests.
- Manages student lineup.
- Escort students to fieldhouse.

Assist in enrollment and retention initiatives in the Office of the Registrar:
- Coordinate the efforts of the Office of the Registrar with the University Registrar to work towards university enrollment and retention goals.
- Coordinate services in the office and with other university constituents to improve student retention.
- Work cooperatively with university staff and faculty to promote and implement strategic University enrollment and retention goals.
- Serve as a key member of the enrollment and retention management team.

Provide leadership to the Office of the Registrar staff:
- Provide leadership and set a high standard of professionalism for the Office of the Registrar by providing high quality customer service not only to students and the public, but also to divisional and university staff, faculty, and students.
- Mentor, train, and lead staff on student systems and new system development.

Assist the University Registrar in all functions of the office and throughout the campus community:
- Assist the University Registrar in maintaining a positive, efficient, and productive work environment.
- Assist the University Registrar in all functions of the office and in supervision of other employees in the office.
- Supervise and evaluate employees, temporary employees, student workers, and others as assigned.
- Promote the University's policies and procedures in compliance with local, state, and federal policies and regulations.
- Assist the University Registrar in educating the campus community about best practices for complying with FERPA, record retention, as well as other security and privacy initiatives.
- Collaborate with administrators, associate/assistant deans, deans, and faculty to facilitate and improve services to students and advisors. Counsel students and advisors on academic, registration, and records issues, and trouble shoot to provide solutions to the issues.
- Assist the University Registrar in maintaining an effective communication strategy through the website, email, and other communication tools, revising as necessary to maintain office, division, and university strategic goals.
- Participate in staff meetings and activities.
- Ensure professional development of staff.
- Participate in professional development to maintain current knowledge of assigned areas of responsibility.
- Work with others to promote good morale among office staff.
- Act on behalf of the University Registrar in her/his absence.
