JOB TITLE:
Accounting Associate, Senior
JOB PURPOSE:
Provide financial and human resources support to the departments of Geology and Geophysics. Responsible for the department's accounts payable and receivables, payroll and human resource functions. Provide project/grant accounting support for departments. Serve as a resource for the CEPS personnel regarding UW regulations and policies. Serve as primary backup for the college's department accounting personnel.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for the departments' accounts payable and receivables, payroll and human resources functions. Prepare all accounts payable documents including purchase orders, payment requests, travel vouchers, and IDTs for both academic and research support. Serve as the reconciler on all department P-Cards. Prepare and initiate all Foundation payment requests and transfers. Work in collaboration with Business Manager and Assistant Director, Business Operations concerning funding and support. Initiate contracts or statement of work, and lead negotiations of vendor Terms and Conditions when needed for the purchase of goods and service. Serve as a resource for college staff and faculty in interpreting university and college policies and procedures for financial operations. Maintain accurate financial databases (QuickBooks) and filing systems (electronic and paper). Serve as the primary backup for all of the college's accounting personnel. Complete special projects as assigned.
- Responsible for payroll and human resources for the departments, preparing and processing payroll and related forms for all faculty, academic professionals, staff, graduate students and hourly employees. Prepare payroll adjustments/expenditure corrections when necessary to maintain budget accuracy. Serve as the resource for immigration issues. Serves as a staff resource for overtime, compensatory time and VSL balances. Maintain confidential personnel files in a secured file cabinet.
- Serve as the primary financial and human resources person for research and project/grants for departments. Coordinate the accounting, personnel management, financial reporting to PIs and compliance issues including Export Control. Initiate contracts or statement of work, and lead negotiations of vendor Terms and Conditions when needed for the purchase of goods and service.
- Assist Business Manager with research, analysis, and compilation of data for required reports, such as annual budget meetings and department annual report. Serve as primary backup for CEPS Business Office personnel

MINIMUM QUALIFICATIONS:
Education: Associate's degree in accounting or related field
Experience: 1 year work-related experience
Required licensure, certification, registration or other requirements: None
DESIRED QUALIFICATIONS:
- Excellent interpersonal, verbal and written communication skills
- Accounts payable and receivable experience
- Experience with payroll and Human Resources functions
- Experience working in an academic setting including student contact
- Strong attention to detail
- QuickBooks experience
