Job Summary:
Under supervision of the Assistant Head of School for Academics and working closely with of the Director of Innovation and Experiential Education, provide assistance and support for the academic and co-curricular programs in the ULab, including office management, managing calendars, travel and risk management documentation, day-to-day duties within the department, and assistance with major events.
Specific Responsibilities:
- Provide administrative support for the ULab front desk and reception area
- Creates a warm and welcoming environment in the ULab
- Greets ULab visitors, ensuring Main Office check-in protocols are followed
- Maintains inventory of office/classroom supplies available in reception area
- Sits on the UPrep Touch Base committee in order to maintain and have available as much information as possible about activities on campus as well as school-sponsored activities, especially those taking place in the ULab
- Support the coordination and execution of academic and faculty development programs: LaunchPad, Individualized Teacher Improvement Plan (ITIP), course registration, faculty professional development, Academic Council (AC), and Instructional Leadership Team (ILT).
- Collects submitted forms and manages multiple databases to track program completion
- Schedules and coordinates AC & ILT meetings
- Schedules and coordinates hiring interviews and faculty professional development workshops
- Supports Assistant Head of School for Academics in data management for faculty ITIP program
- Schedules and organizes on-campus family and student events for LaunchPad program
- Support the coordination and execution of ULab experiential education programs: Global Link travel and visit programs, outdoor education programs, co-curricular Makerspace programs, semester away, and summer camp.
- Collects and maintains required paperwork for student travel and risk management protocols
- Helps organize and coordinate trip leader workshops, trainings, and team meetings
- Responsible for tracking wilderness first aid/responder and outdoor risk management certifications
- Assists with international, domestic, and local overnight travel arrangements, bookings, and reservations
- Organizes and manages program registration using Veracross CRM database
- Schedules and organizes on-campus family and student events and celebration dinners
- Orders supplies and maintain inventory of program gear, supplies, and equipment
- Other duties as assigned
Qualifications
Required Education & Experience:
- High School Diploma or GED required
- Bachelor’s degree from a four-year college or university or equivalent project management experience preferred
- Minimum 2 years experience working in office environment
- Knowledge or experience in educational and co-curricular activities and programs preferred
- Experience working with students and families preferred
- Must possess or be willing to obtain valid First Aid/CPR card
Required Knowledge, Skills & Abilities:
- Detailed oriented, highly organized, can work independently, manage multiple tasks, strong communication skills
- Efficient, well organized, and able to handle a variety of duties simultaneously
- Flexibility and adaptability to meet the needs of the students and program
- Professional manner and discretion; ability to maintain confidential information
- Sense of humor, energy and enthusiasm and ability to hold students and oneself to high expectations
- Excellent verbal and written communication skills
- Ability to work and communicate well with all levels of faculty and staff
- Ability to work and communicate well with students and their parents
- Excellent customer service skills and strong work ethic
- Ability to work with students from diverse backgrounds and commitment to diversity, equity, inclusion, and belonging
- Proficient at working in a Microsoft Windows environment and Google Suite; ability to master common database systems, and confidently learn new technology
Compensation & Benefits:
Salary is $59,000 to $69,000 based on education and years of experience.
