A hybrid work schedule is offered (2 days in office / 3 days work from home) with flexibility around business meetings and travel.
- Effectively manage or provide support for the planning and logistics associated with Corporate, Colonial Life and Unum meetings and events.
- Work with key business partners and meeting and events team to develop specific programs from conception to completion so desired experiences are achieved.
- Perform a variety of meeting logistical tasks for meetings & events team (e.g., designing schedule & sequence of orders, flight tracking details & ground coordination, review details to ensure accurate orders from vendors, support materials & amenity gifts, etc.)
- Provide technical support for all meetings and events by building and administering registration sites and meeting apps as well as managing meeting data details.
- Maintain efficient tracking of all expenses and prepare tax reporting for all incentives programs.
- Develop, deliver, and track effective communications to business owners, vendors, and conference attendees to confirm accuracy and details of meeting requirements.
- Assist in the management of onsite operation of conferences/events in coordination with meeting and events team and key business partners (ground transportation, rooming list management, meal, and menu planning, etc.)
- Accountable for smaller scale / specific meetings and act in a support staff role for other meetings based on business need.
- Provide continuous improvement and enhancement as needed to improve processes and workflows as well as other technical support aspects of meeting planning.
- Collaborate with business partners at all levels (including Sr. Management) to determine business meeting objectives, expectations, and budget allocations. (This may include promotional and communication needs for assigned meetings/conferences.)
- Manage the development of materials, selection of recognition awards, and coordination of approvals, within established deadlines at appropriate costs.
- Effectively manage budget expectations and provide expense management and reporting support for assigned meetings/conferences.
- Research, negotiate, and secure contracts for event venues and transportation companies.
- Act as primary liaison to external vendors including registration site company and app company.
- Perform other duties as assigned
- Bachelor’s degree preferred – specialty in event planning, hospitality, or marketing a plus
- 4 years of meeting and planning experience in the context of a results-oriented environment
- Excellent organizational, time management, logistical planning, and decision-making skills
- Ability to manage multiple projects, tasks, and priorities in a fast-paced environment with a high degree of accuracy and within set time frames.
- Ability to communicate with individuals effectively and professionally at all levels of the company
- Strong project management, analytical and problem-solving skills
- Demonstrated initiative, strong interpersonal skills, written and verbal communications.
- Work independently with minimal supervision
- High visibility/professionalism – strong ability to relate and work with a variety of management levels
- Travel is required to support meeting and event development and execution
- CMP designation preferred
