POSITION ANNOUNCEMENT: ADMINISTRATIVE SUPPORT SPECIALIST

Reports to: Unwin Company Senior Advisor

Opening Period: Until filled Start Date: Immediately

Position Information: Permanent full-time, non-exempt with full benefits

Duty Location: Remote position with occasional onsite duties at DOE Headquarters in Germantown, Maryland.

General Duties and Responsibilities: The selected candidate will provide full-time executive-level administrative support for the EA Office of Worker Safety and Health Enforcement, which will be periodically conducted at the DOE Headquarters facility in Germantown, MD. Routine duties and responsibilities will include but are not limited to: tracking milestones related to enforcement actions, analyzing and trending performance data related to milestone tracking, reporting action status and performance data to executive-level management, compiling metrics for annual reports, monitoring and evaluating the effectiveness of processes within the Office of Enforcement, updating internal processes and procedures/desk references, supporting various EA workflow processes, coordinating Office website updates, and coordinating staff travel and expense reporting.

The selected candidate will track milestones in established institutional databases and use various computer software programs to prepare reports, correspondence, and presentations that incorporate spreadsheets, flow diagrams, or other graphics. Exceptional attention to detail is required to ensure reports and other deliverables are prepared in compliance with DOE policies and guidelines. Well-qualified candidates will possess the following qualities, knowledge, skills, and abilities:

  • Demonstrated proficiency in providing administrative support to executive-level managers and staff in a high-paced work environment.
  • Demonstrated capability to gather quantitative and qualitative data from various sources to assess performance and identify trends and potential areas of concern.
  • Demonstrated ability in managing spreadsheets to track the progression of projects against established metrics and developing charts and graphs depicting organizational performance.
  • Self-starter with a proven track record of identifying and implementing process improvements to optimize daily operations/activities.
  • Demonstrated strong organizational skills that promote cohesiveness and help leadership functions run smoothly.
  • Demonstrated capability to interface with multiple professional staff to help plan and coordinate administrative functions in a dynamic office environment (e.g., coordinating meetings and travel for the Federal office director and staff; tracking staff locations using spreadsheets and databases).
  • Demonstrated capability to assist with planning large events/workshops (e.g., agenda planning, lodging/travel coordination, venue preparation, attendee registration tracking, and general coordination) is highly desirable.
  • Demonstrated proficiency in handling classified and sensitive unclassified documents, including marking, destruction, and reproduction is desirable, but not required.
  • Demonstrated interpersonal communication skills, and experience in managing inter- and intra-office incoming and outgoing correspondence, filing, and records management. Applicant must have experience with software in a Local Area Network environment, including word processing, scheduling and calendar software, graphics, spreadsheets, records management, and electronic mail.
  • Demonstrated proficiency with Microsoft Office (Outlook, Teams, Word, Power Point, Excel, Access, Power Bi) and a variety of other administrative-oriented software applications such as SharePoint and Concur Travel.

Requirements and Qualifications:

· Eligible candidate must possess a high school diploma (college degree preferred), and excellent written and oral communications skills.

  • Applicant must have at least 5 years of experience performing and expediting administrative, word processing, and report production support type tasks in support of executive-level managers with an emphasis on responsiveness, timeliness, and accuracy.
  • Applicant must be eligible to obtain and maintain a DOE Q security clearance. Applicants with an active security clearance are highly desirable.
