Job Summary : A busy Primary Care Office located in Manhattan is seeking an experienced office supervisor to manage one of the locations. The Medical Office Supervisor (also a Certified Medical Assistant) is responsible for overseeing the daily operations of the medical office, ensuring efficient workflow, patient satisfaction, and compliance with healthcare regulations. This role involves managing administrative staff, coordinating schedules, handling patient inquiries, and maintaining a high standard of service while supporting the office’s medical and business objectives. This role reports to the Practice Manager. The compensation for this role ranges between $23 - $25 per hour, depending on experince. Working hours are : Monday, Tuesday 730AM - 5PM Wednesday, Thursday 730AM - 4PM Friday 730AM - 2PM Key Responsibilities : Staff Supervision : Lead and manage office staff, including receptionists, medical assistants, and administrative personnel. Provide guidance, training, and performance evaluations. Schedule Management : Oversee patient appointment scheduling, ensuring the office maintains optimal scheduling and minimal wait times for patients. Patient Relations : Serve as a primary point of contact for patients, addressing their needs, complaints, and concerns, ensuring a high level of customer service and satisfaction. Office Operations : Ensure smooth day-to-day operations of the office, including managing patient flow, coordinating referrals, and assisting with billing and insurance processing. Compliance & Regulation : Maintain compliance with healthcare regulations, HIPAA guidelines, and office policies to ensure patient privacy and safety. Inventory Management : Order and maintain office and medical supplies, ensuring the office is adequately stocked and organized. Financial Oversight : Manage financial transactions, and support in budget tracking for office expenses. Skills and Qualifications : Proven experience in a medical office, with at least 2-3 years of supervisory experience. Knowledge of medical terminology, office procedures, and healthcare regulations (e.g., HIPAA). Strong organizational, leadership, and multitasking skills. Excellent communication and interpersonal skills. Proficiency in ECW, Medical Assistant Certification, Google Workspace.
