ABOUT THE OFFICE ADMINISTRATOR
We are seeking a conscientious and detail-oriented individual to join our team as a Part-Time Office Administrator. The ideal candidate will assist with various administrative tasks, ensuring the smooth operation of our corporate office.
What You’ll Do
- Assist with planning, coordinating and executing on-site meetings and events.
- Managing the CEO and COO calendars, including making appointments and prioritizing the most sensitive matters
- Manage corporate travel partner programs.
- Manage incoming and outgoing mail and packages, including distribution to appropriate teams and troubleshooting any shipping issues.
- Schedule and coordinate key meetings and appointments, including company-wide Town Halls, DPM/CEO meetings and other corporate and regional gatherings.
- Maintain office supplies inventory and place order as needed
- Facilitate employee recognition ordering and shipments
- Lead local community engagement and involvement initiatives.
- Organize and maintain office spaces, storage areas, and shared workspaces.
- Provide general administrative support to the Nashville office, including mail, office supplies, meeting coordination, facility access and visitor process.
- Arrange and manage corporate travel, including flight and accommodation bookings, as well as processing travel expenses
- Assist in facilitating onsite candidate interview days and coordinate first-day onboarding for new hires.
- Assist with various special projects and tasks as assigned
Experience and Qualifications:
- Previous office or administrative experience preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Attention to detail and problem-solving skills
- Maintain discretion and confidentiality handling sensitive information
Working hours:
- 20-25 hour per week
- Flexible schedule, with available to work morning or afternoons
- Regularly work on site
