Role Summary

The Executive Assistant to the President and CEO at Urban Neighborhood Initiative (UNI) in Kansas City, Missouri, plays a pivotal role in supporting the organization's leadership and facilitating effective communication with the Board of Directors (BOD) and various committees. Experience | Education | Skills

  • Bachelor’s degree in business administration, communications, or a related field preferred, or an equivalent combination of education and relevant experience.
  • Proven experience as an executive assistant or similar role, supporting senior executives or board members.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendarmanagement and email systems.
  • Ability to maintain professionalism and discretion when handling confidential information.
  • Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment.
  • Knowledge of non-profit organizations and board governance practices is a plus.

Responsibilities

  • Manage the President and CEO's calendar, scheduling appointments, meetings, and travel arrangements efficiently.
  • Handle all incoming and outgoing emails for the President and CEO, ensuring timely responses and prioritizing urgent matters.
  • Act as the primary point of contact for communications between the President and CEO, the Board of Directors (BOD), and various committees.
  • Maintain accurate records of the BOD and committee members, including roster, terms, and contact information.
  • Coordinate BOD and committee meetings, including preparing agendas, distributing materials, scheduling, and arranging meeting logistics.
  • Take minutes during BOD and committee meetings, ensuring accurate documentation of discussions, decisions, and action items.
  • Oversee the handling and distribution of UNI communications, ensuring prompt and appropriate responses to incoming correspondence.
  • Assist with board management tasks, including coordinating annual giving campaigns, preparing reports, and compiling board dossiers.
  • Provide general administrative support to the President and CEO as needed, including drafting correspondence, preparing presentations, and conducting research.
  • Maintain confidentiality and discretion in handling sensitive information and matters related to the organization's operations and leadership.
  • General office administration to include; answering the phone, visitor management, conference room, and shared space facilitation.

Job Type: Full-time

Pay: $50,000.00 - $65,000.00 per year
