About the Role:
We are seeking a Executive Assistant, Location – THQ Blackburn, VIC for a Permanent – Full Time opportunity.
Purpose of the Role:
The role is accountable for providing a full range of Executive Support to the Secretary to the Property Trusts and will provide strategic support and assistance to the Trustees ensuring accurate documentation and timely coordination of any work requiring attention by the Trustees. This will involve a range of coordination of activities and administration to ensure the effective management of the Secretary to the Property Trusts. This role will be required to develop and manage relationships with a number of key internal and external stakeholders and must maintain high levels of confidentiality and professionalism at all times.
Key Roles and Responsibilities:
Prepare and develop a range of documentation as well any documents for consideration by Trustees
Draft resolutions, meeting agendas and minutes for Trustee meetings
Provide a full range of administrative support to the Secretary to the Properly Trusts to ensure the effective management of their office, schedule and workload
Coordinate daily business by regularly reviewing diary, emails, meeting and travel demands and identifying and resolving potential issues
Organise all travel and reimbursements
Provide administrative support to Trustees in relation to Integrity Checks, liaising directly with Trustees, when required
Coordinate effective administration of access to government portals
Ensure sound document control and record management of key information is effectively maintained by developing and utilising filing and retrieval systems
Establish and maintain effective confidential administrative processes and ensure they are easy to use and retrieve
Manage a range of financial processes including expenses and invoices, to support the manager and the function
Undertake a range of general office administration duties to ensure the smooth running of the function
Education and Qualifications Required:
Experience in analysis of new systems/process and making recommendations for improvement
Experience and exposure to Trustees and senior management with demonstrated experience in leadership, influencing and relationship management with key stakeholders at senior levels of organisation
Requirements of the role:
A National Criminal History Check is required
Working with children’s check
This role is based on-site and requires office attendance five days a week.
