The mission of The Pittsburgh Land Bank (the “PLB”) is to repurpose vacant and abandoned property, with a special focus on the preservation of Pittsburgh's existing housing stock and the development of affordable housing. The PLB has special powers under state law to clear tangled titles, a major barrier to returning property to productive re-use. A significant amount of PLB staff time is spent working to acquire, clear title, maintain, and sell property in the Land Bank's inventory. The PLB is overseen by a Board of Directors and is currently affiliated with the Urban Redevelopment Authority of Pittsburgh (the “URA”), working within the URA's Real Estate team. This position's main responsibilities will be to provide critical administrative and organizational support to the PLB, including preparation for the monthly board meetings, maintenance of PLB records, and assistance with financial and compliance tasks. The PLB Administrative Coordinator will also coordinate scheduling, process inquiries and applications, and support PLB programs, ensuring adherence to policies and procedures. The successful candidate must be highly organized, detail-oriented, a strong writer, self-motivated, and collaborative, with the ability to improve and standardize administrative processes that advance land recycling initiatives throughout the City of Pittsburgh. - Assist with the preparation of the monthly board agenda, PowerPoint presentation, property application materials, and related material for the monthly Board of Directors meetings
- Schedule board meetings and work with board members to confirm attendance
- Communicate updates and reminders pertaining to the PLB board meetings with PLB applicants, public speakers, and other board meeting participants and stakeholders
- Assist with the preparation of annual audit and reports, presentations, correspondence, and program/project materials
- Assist Real Estate Transactions Coordinator with drafting property transfer documents, letters of support, and other documents, as assigned
- Organize, manage, and maintain paper and digital files and other records
- Process invoices, check requests, and monthly credit card payments
- Track deadlines related to funding, project milestones, board terms and contracts
- Update project and board meeting information on the Pittsburgh Land Bank's website
- Organize, schedule, prepare for, and participate in meetings and events, and maintain calendars
- Assist Land Bank staff with property research using various public databases, as assigned
- Update tracking documents, manage filing and record keeping
