General Description
This role will establish and operate financial management and grants administration systems during a period of organizational growth. Reporting to the Executive Director , the position is instrumental in managing a portfolio of federally and privately funded grants, ensuring operational efficiency, and supporting organizational infrastructure development.
About You
The ideal candidate will have a strong background in grants management, project coordination, and Non-profit operational processes. They should be proficient in handling the financial and administrative aspects of grants while ensuring smooth day-to-day operations within the organization.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
- 5 years of experience in grants management within the nonprofit sector and managing administration support services and / or operations.
- Demonstrated experience with federal grants management and compliance requirements.
- Advanced proficiency in Excel and experience with financial management software.
- Strong project management skills with the ability to manage multiple priorities.
- Excellent analytical skills with the ability to interpret complex financial data.
- Outstanding communication and stakeholder management abilities.
- 2 years of experience with nonprofit accounting and change management.
- 2 years of experience working with faith and community-based organizations.
What You’ll Be Doing
Pre-Award and Proposal Support :
Review and analyze proposal budgets for compliance with funder requirements and organizational policies.Provide budget development guidance to program teams during proposal preparation.Support cost analysis and budget justification development.Assist in evaluating institutional commitments and resource requirements for new proposals.Review indirect cost applications and cost-sharing commitments.Grant Administration and Financial Management :
Manage day-to-day post-award administration and financial compliance of grants from setup to closeout.Monitor grant expenditures to ensure allocability and allowability in accordance with donor and organizational policies.Review and approve expenditures and process cost transfers as needed.Prepare and analyze financial reports for internal stakeholders and external funders.Facilitate timely financial closeout of grants.Support budget development and expenditure forecasting processes.Conducts grant modifications, including no-cost extensions, budget reallocations, and scope changes.Build federal grant infrastructure and compliance frameworks.Process Development and Systems :
Standardize grants management processes and procedures across the organization.Implements and optimization of the new Grants Management System.Develop and maintain comprehensive grant monitoring procedures.Contribute to the development of institutional policies and procedures for grants management.Support annual audit processes and establish risk mitigation strategies.Office Management :
Oversee daily office operations, ensuring smooth and efficient workflows.Develop and maintain standard operating procedures (SOPs) for office processes.Ensure compliance with organizational policies and external regulations.Oversee IT systems and liaise with IT support to ensure technology meets organizational needs.Financial Operations :
Monitor operational budgets and assist in financial planning.Oversee the implementation of new financial management systems and software, including budgeting, forecasting, and reporting.Leadership and Collaboration :
Collaborate with program teams to provide operational and financial guidance.Partner with key stakeholders to ensure effective grant and operational management.Maintain and manage key organizational relationships to benefit organizational goals.Represent the organization in a professional and ethical manner.Competencies
