Job Summary

The Administrative Assistant will b e responsible for managing daily administrative tasks for the finance, data, and accounting teams, including supporting the finance executive, managing the employee expenses system, and categorizing accounts payable. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. We are willing to train on the employee expense system and c ategorizing accounts payable.

Key Responsibilities

  • Maintain organized records and filing systems for administrative and financial documents.
  • Assist in processing invoices and managing accounts payable.
  • Review and process employee expense reports in accordance with company policy.
  • Coordinate office operations, supplies, and vendor management.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Handle internal and external communications on behalf of executives.
  • Prepare reports, presentations, and other documents as needed.
  • Support special projects and other administrative tasks as assigned.
  • Project manage key ongoing projects for the teams.
  • Qualifications :

  • Prior experience in administrative support, executive assistance , or accounting support is preferred.
  • Basic knowledge of accounts payable processes and expense management.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, NetSuite, or similar) is a plus.
  • Strong attention to detail and excellent organizational skills.
  • Ability to handle confidential information with discretion.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and prioritize tasks effectively.
  • Preferred Qualifications

  • Experience in bookkeeping or finance-related roles.
  • Familiarity with business expense policies and reimbursement processes.
  • Bachelor's degree or equivalent experience in business administration, accounting, or a related field.
