POSITION TITLE: Medical Records Clerk
REPORTS TO: Administrator
JOB SUMMARY
The medical records employee is responsible for maintaining records, distributing reports to physicians in a timely manner, logging in test results, handling the prescription request via fax and completing records requests. The employee should be willing to assist the patient, co-workers and physicians as needed.
MAJOR JOB DUTIES AND RESPONSIBILITIES
General Administrative, Productivity/Work Flow Duties
- Sorts incoming faxes and distributes faxes to the appropriate physician and/or Medical Assistant
- Scans reports, consents, and progress notes into the patients chart and notifies the physician to sign off on the items.
- Downloads all CT and pathology reports and enters the reports into the Orders Database.
- Retrieves all reports requested from a physician or Medical Assistant.
- Performs special projects as assigned by Administrator or other members of management.
MAINTENANCE OF SKILLS AND KNOWLEDGE
- Maintains a basic understanding of urology-related conditions, diseases and procedures.
- Utilizes good communication skills during interactions with patients and co-workers.
- Achieves and maintains positive working relationships and rapport with colleagues, physicians, employees, and other health care providers to ensure quality delivery and promotion of health care.
INDEPENDENT JUDGMENT
Work is performed in accordance with established procedures and by using independent judgment and discretion. The medical records employee is expected to analyze any patient questions and/or complaints and determine proper courses of action to take.
Qualifications
ESSENTIAL SKILLS, BODIES OF KNOWLEDGE, AND ABILITIES THAT ARE REQUIRED FOR THE POSITION
- Must have interpersonal skills as well as verbal and written communication skills necessary to communicate effectively with physicians, Medical Assistants, patients, co-workers, hospital staff and others.
- Must maintain professional appearance and demeanor at all times.
- Must have the ability to multitask and pay close attention to detail.
- Must have the knowledge of medical office methods and procedures.
- Must have basic computer skills and an understanding of the practice’s computer system. (EMR/PM/Scheduling)
- Must have knowledge of Orders Database.
- Must have a High School Diploma or equivalent
