What are the responsibilities and job description for the Main Office Receptionist position at Ursuline Academy?
The primary responsibility of the Main Office Receptionist is to create an office environment that is welcoming, professional, organized and friendly for students, parents, and guests of Ursuline Academy.
In the Community of Faith and Mission

Models and promotes the mission of the Academy
Receptionist

Create a welcoming impression for all guests and meet their needs efficiently and pleasantly.

Answer and direct all incoming calls.

Facilitate visitor sign-in process.
-
Be attentive to academy safety protocols and enact them as needed. Report suspicious activity to the Principal immediately.
Attendance
-
Retrieve phone and email messages
-
Enter attendance into Infinite Campus
-
Contact classrooms of all unexcused students and confirm attendance status with parents
-
Update student attendance throughout the day
-
Maintain field trip and in-school field trips and sports attendance
-
Follow records retention policy regarding attendance notes and messages
Student Medication and Storage
-
Document medications taken by students
-
Store individual student prescribed medications
-
Facilitate student process of taking prescription and non-prescription medications
Emergency Response Team
-
Report incidents to parents and contact 911, if necessary
-
Implement attendance role during emergency evacuation
Other Responsibilities
-
Assist Advancement Department with Raiser’s Edge updates and other routine administrative tasks as needed. (weekly/monthly)

Assemble coworker birthday cards and distribute after the Principal and President sign them.

Distribute U.S. mail - take outgoing mail to the post office at the end of the day when necessary

Storage of Lost & Found items

Set up daily bell schedule

Maintain inventory of copy room and other office supplies. Order business cards and door plates for new staff.
