Job Overview:
The accountant/bookkeeper is responsible for managing financial records, handling daily financial transactions, tracking expenses, preparing financial reports, and conducting expense analysis. The role includes accounts payable, accounts receivable, bank and credit card reconciliations, basic cost accounting tasks and general bookkeeping duties. They will work as a member of an administrative team and must be able to assist the receptionist by answering multi-line phones and greeting customers when necessary. They must have strong organizational, analytical, interpersonal, and problem-solving skills.
Key Responsibilities:
- Accounts Payable:
- Process vendor invoices and payments
- Match invoices with purchase orders and resolve discrepancies
- Set up and maintain vendor records and respond to inquiries
- Accounts Receivable:
- Generate and send customer invoices
- Apply customer payments and follow up on past-due accounts
- Assist with credit approvals and customer account maintenance
- Cost Accounting & Bookkeeping:
- Reconcile cash accounts daily to ensure accuracy and consistency
- Code and reconcile credit card transactions
- Assist with tracking and analyzing manufacturing costs
- Maintain general ledger and assist with financial reporting
- Post journal entries and assist with month-end closing
- Organize and maintain financial records
- Assist with monthly sales tax returns, ensure compliance with state and local regulations
- Track and report sales tax liabilities
- Prepare and issue 1099 forms for independent contractors at year-end
- Administrative & Reception Support:
- Answer multi-line phone system and direct calls
- Greet and assist visitors and customers
- Provide general administrative support as needed
- Perform additional tasks and responsibilities as assigned to support business operations
Experience Required:
- Minimum of 3 years of experience in bookkeeping and/or accounting
- Strong knowledge of cost accounting principles and practices in a manufacturing setting
- Detail-oriented with strong organizational skills
- Ability to multitask and work independently or as part of a team
- Proficiency in QuickBooks Desktop accounting software (preferred)
- Strong Microsoft Excel skills for data entry and financial reporting
- Excellent communication and customer service skills
