About This Role :
The Executive Assistant & Board Liaison provides high-level administrative support to the CEO and the executive team while serving as the primary point of contact for the Board of Directors (“Board”) in a large and innovative credit union. This role requires exceptional organizational, communication and discretion skills to ensure seamless executive operations and effective board governance. Additionally, this position requires strategic focus and regularly exercises considerable discretion and independent judgement in the performance of duties to both the Board and as Executive Assistant to the CEO (to whom this position reports).
Key Responsibilities :
Board & Committee Meeting Management :
- Manage the full lifecycle of board and committee meetings, events, appointments and conference calls, including scheduling (virtual and in-person), agenda preparation, material distribution, and minute taking.
- Serve as the primary point of contact between the Board of Directors (approximately 18 individuals) and executive leadership.
- Prepare and distribute board calendars, meeting invitations, agendas and materials in a timely manner.
- Administer and maintain the OnBoard portal, ensuring data accuracy, timeliness and relevance of documents that are uploaded and appropriate user access is granted.
- Prepare and distribute Board and committee meeting decks and minutes and ensure their timely review and approval.
- Coordinate Board participation in the Annual Meeting, strategic planning sessions, regulatory exams, bi-annual assessments, etc.
- Support Board, committees / subcommittees and task forces (such as Supervisory, Governance, Finance, Compensation and Strategic Planning) with administrative needs (such as scheduling, travel arrangements) as required.
- Aid and counsel Board member onboarding, training, and engagement activities regarding fiduciary and regulatory duties as described in the Credit Union bylaws.
- Coordinate educational resources for the Board and monitor individual Board member training, conferences and CU association participation.
- Maintain board records, bylaws, policies, and governance documents, including monitoring review dates, ensuring regulatory compliance and that all policies have full management and legal review as required.
- Ensure compliance with corporate governance regulations and best practices.
- Assist with implementation and revision of the Board and committee procedures.
- Maintain confidentiality and discretion in handling sensitive information and documentation of outcomes in support of Board and CEO activities.
- Assist with prompt resolution of member concerns received by the Board.

In the spirit of pay transparency, we are excited to share the base salary range for this position is $75,000.00 - $85,000.00 , exclusive of fringe benefits or potential incentives. This position is also eligible for an annual corporate bonus. If you are hired at USALLIANCE Federal Credit Union, your final base salary compensation will be determined based on factors such as skills, education, and / or experience. In addition to those factors, we believe in the importance of pay equity and consider the internal equity of our current team members as a part is any final offer. Please keep in mind that the range mentioned above is the full base salary for the role. Hiring at the maximum of the range would not be typical to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
All positions must adhere to standard BSA / AML policies, procedures, and processes. Employees must demonstrate awareness of business functions and how business decisions affect financial and / or non-financial work results.
Salary : $75,000 - $85,000
