What are the responsibilities and job description for the Event Production Specialist position at Utopia Experience?
The Event Production Specialist (EPS) is a skilled technician with an understanding of audiovisual conference setups/strikes of audio/video/lighting and can follow instructions, run cable, and lift heavy objects. As a small business operation, there’s often overlap between departments. No two days are the same. That means you will interface and interact with all departments of Utopia, which creates a natural camaraderie, and allows for diversity and creativity on a daily basis. You’ll also have the opportunity to think critically and strategize with our business development team on how to continually innovate our offerings and technology to go further and deliver more value to our clients.
An Event Production Specialist (EPS) will set up and run the sound, video, and streaming equipment used to conduct live and hybrid events such as conferences, fundraising galas, meetings, and business conventions. This includes mixing soundboards, playing video recordings, enhancing lighting, and coordinating graphics. Cool-headed, self-motivated individuals who think fast on their feet and enjoy technical support will thrive in this role. An EPS will work under the supervision of a production manager. An EPS must be able to work days, nights, and weekends because they support events that take place during these times.
EPS Duties and Responsibilities:
While an EPS’s day-to-day duties and responsibilities are determined by scheduled events, there are many core tasks associated with the role. These include, but are not limited to:
At the office:
- Creating Diagrams for events through CVENT/CAD etc.
- Creating Production Maps
- Assisting Planning team with ROS/Call Sheets
- Inventory Maintenance including preparing for events, clean up warehouse post event, keeping equipment labeled and organized, fixing/tracking damaged equipment
- Coordinating with our business development team in an effort to add value to our clients and partners - always curious, ever-evolving, forever inspired
- Innovating: keeping an eye out and researching ways we can improve our processes (new software/hardware, better systems, better approach)
- Working with Utopia Operations Director to book crews, and gear (if necessary) for out-of-town-shows, and doing so in a way that honors both our effectiveness and ability to perform and our profit margin
On site at events:
- Management, setup and strike of our A/V equipment. This also includes safeguarding to ensure our equipment is well maintained on set (ex: LED wall panels aren’t left on the ground for someone to inadvertently step on)
- Transporting commercial vehicle(s) to and from venue sites
- Coordinate and management of subcontractors (if applicable)- techs, camera operators, utility, etc.
- Putting your best foot forward to produce our events, professionally and proficiently
- Building relationships with our customers on-site (this is critically important)

Pay: $37,000.00 - $45,000.00 per year
