Job Summary
Senior Administrative Associate
Coordinate and/or direct the administration of the Department of Economics, Alvarez College of Business.
Administrative Services Officer I
Plan and assist in the coordination of the business management, administrative, and staff services of the Department of Economics, Alvarez College of Business.
Core Responsibilities
Senior Administrative Associate
Coordinates all administrative operations of the department.
Manages all fiscal activities of the department; develops budgets, posts, and reconciles accounts, prepares reports and cost analyses, and monitors expenditures. Maintains a sound financial state for the department.
Manages the financial activities for scholarship funds, grant programs and research programs.
Coordinates and supervises administrative support staff. Determines schedules and assignments and training and development needs.
Maintains personnel records for faculty and staff.
Acts as a liaison with other University departments regarding grants, research, budgets, registration and other administrative issues.
Performs other duties as assigned.
Administrative Services Officer I
Responsible for the administration of fiscal and budgetary affairs, personnel matters, and other administrative activities essential to the operation of the college or department requiring independent decision-making skills.
Coordinates all administrative operations of the department.
Manages all fiscal activities of the department; develops budgets, posts, and reconciles accounts, prepares reports and cost analyses, and monitors expenditures. Maintains a sound financial state for the department.
Manages the financial activities for scholarship funds, grant programs, and research programs.
Coordinates and supervises administrative support staff. Determines schedules and assignments and training and development needs.
Maintains personnel records for faculty and staff.
Acts as a liaison with other University departments regarding grants, research, budgets, registration, and other administrative issues.
Coordinates and completes special projects as needed.
Performs annual evaluations of assigned administrative staff.
Takes a proactive approach to assist co-workers in various tasks, to ensure safety.
Performs work tasks in a safe manner and following work instructions.
Proactively makes recommendations to improve safety.
Performs other duties as assigned.
Required Qualifications
Senior Administrative Associate
High school graduate or GED.
Nine (9) years of increasingly responsible administrative, clerical, or office experience.
A Bachelor’s degree may be substituted for five (5) years of experience.
Administrative Services Officer I
High school graduate or GED.
Twelve (12) years of increasingly responsible experience in administration or business management with at least two (2) years of supervisory experience.
A Bachelor’s degree may be substituted for five (5) years of experience.
Preferred Qualifications
Senior Administrative Associate
Similar experience in higher education.
Thorough knowledge of University administrative structure, policies and procedures.
Administrative Services Officer I
Bachelor’s degree in Business Administration or related field.
Knowledge Skills & Abilities
Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
Personal computer and standard office equipment use.
Special equipment may be used in specific departments or sections.
Tact, diplomacy, and judgment are necessary in dealing with others.
Demonstrated independent decision-making and problem-solving ability.

Office environment.
