Position Summary
Under limited supervision, the Accounts Payable Specialist is responsible for managing the company’s accounts payable functions, preparing regular journal entries, ensuring timely and accurate processing of invoices and vendor payments. The role involves maintaining positive vendor relationships, reconciling bank statements, and supporting various accounting activities.
Duties & Responsibilities
- Support all efforts to simplify and enhance the guest experience and vendor relations.
- Regularly perform accounting tasks including journal entries and bank reconciliations.
- Heavy emphasis on month-end and year-end closing activities.
- Process and review invoices and credit card transactions for accuracy, ensuring proper coding and approvals.
- Reconcile vendor statements and resolve discrepancies.
- Perform data entry of invoices into the accounting system.
- Prepare and process electronic payments, checks, and ACH transfers.
- Maintain vendor records and ensure compliance with company policies.
- Communicate effectively with vendors and internal departments regarding payment inquiries.
- Support audits by providing necessary documentation and explanations.
- Perform adhoc duties as requested by supervisor
- Receive telephone/email inquiries from vendors and internal team members and respond to their questions as needed
Desired Skills
- Strong accounting skills preferred, with the ability to assist with journal entries and month end close process
- Ability to communicate both written and verbally in a clear and concise manner, that is both friendly and professional
- Capable of planning, prioritizing and organizing effectively, with the ability to readily switch tasks
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Ability to lift and carry up to 20 lbs. at times
- Ability to navigate stairwells and elevated areas in multi-story properties
Location
- This position has a hybrid work arrangement which combines remote work and in office attendance
Schedule
- The schedule is Monday through Friday, typically between the hours of 8-5
